Why an HVAC shop's broker should care

A two-truck HVAC company does not buy Applied Epic. Its independent agency might. When that agency's phone tree still dumps COI requests on a licensed CSR, the HVAC owner waits. A 10-person marketing agency that places insurance through a broker feels the same lag on certificates and endorsements. A solo clinic's broker feels it on renewals. The AMS is the agency's system of record. If a voice tool or a renewal tool cannot write back into Epic, someone types the call after the fact. That typing is the client delay.

The Applied Vendor Certification Program is Applied saying: pick a certified vendor, skip the extra Applied API purchase, go live faster than a custom build. The agency still chooses the vendor, still decides which call types a bot may close, and still keeps Epic as the file.

What Applied shipped on August 12

As of August 12, 2026, Applied's Vendor Certification Program release said every certified vendor completes onboarding and certification, activation is faster than a standard integration build, and it does not require any additional purchase from Applied. Certified vendors get access to the latest Applied Epic releases. Graham Blackwell, President of Applied Systems, is the named executive.

According to Applied Systems, the inaugural class includes 11 certified integrations. That 11 is a headcount of names, not a quality ranking. According to PR Newswire, Quandri is one of 11 technology providers in that initial certified group.

The 11 names, and what "certified" removes

The certified-vendors page repeats three buyer promises: trust (onboarding and certification, stays current with Epic), speed (faster than a standard integration), cost (no additional purchase from Applied). It then lists the 11 with Applied's blurbs:

  • Adapt (notices and documents from carriers; Applied says setup takes 30 minutes)

  • Ascend (financial operations: reconciliation, cash application, payables)

  • Coverflow (policy-lifecycle work inside Epic)

  • Fulcrum (servicing and sales across commercial, personal, benefits)

  • Inteveo EcoLink (telephony to Epic/EZLynx)

  • Lightspeed Voice (VoIP plus Epic/EZLynx)

  • Outmarket (Applied text: 12-15 hours saved per person per week; SOC 2 Type II; no training on agency data)

  • Quandri (Applied text: up to 10 times more policies without adding headcount)

  • RecordLinker (Epic corrections and book imports)

  • Sonant (AI Receptionist, AI Outbound, AI Call Companion)

  • Xilo (Applied text: 70% less time from discovery to close; 2-3x more clients per rep)

Those hours, 10x, 70%, and 2-3x are vendor claims on Applied's page, not Applied-audited results. Treat each as that vendor's marketing unless you get a sample.

The same page still lists "Other Vendor Integrations" that are not in the certified class, including AFCO Direct, blueC, Canopy Connect, Certificial, DocuSign, Employee Navigator, FIRST Insurance Funding, Formstack Sign, Imperial PFS, Insurance Automation Group, Rhoads Online Institute, and SALT. Certification is a subset, not the whole ecosystem.

Sonant as the voice-AI example

This program's inbound story is voice AI on the AMS the agency already runs. According to Sonant, the certified Epic write-back requires 0 extra Applied API purchase, and Sonant can answer the call, use account data during the conversation, and write the activity and summary back without an additional Applied agreement. Sonant also says it is the first voice AI with that certified Epic access.

SentryWest's Blake Thompson is quoted on that page preferring write-back into Epic. Cornerstone's Brock Longworth is quoted on call visibility. Frost & Remer's Jeff Frost is quoted as a convert. Those are testimonials, not measured books of business.

The Sonant for Applied Epic page repeats the no-extra-API point, names SOC 2 Type II and GDPR, and says implementation is typically 5-10 days from kickoff to live calls. According to Sonant, implementation is typically 5-10 days to live calls, depending on how many workflows you configure up front. That is Sonant's typical range, not a contract.

Sonant also documents the Epic integration, AI Voice Agents, an insurance call answering product, a Trust Center, and security. The Cornerstone case-study teaser on the Applied landing page uses a 43% staff-productivity quote. That quote is Sonant's case-study marketing. Do not paste it into an agency pro forma without reading the study and matching call mix.

What still needs a licensed person

Certification does not license a bot to bind coverage, give coverage advice, or close a claim. Applied's program certifies the integration path. State licensing and E&O still sit with the agency. Sonant's own FAQ says it identifies itself as AI, escalates per rules, and is not a replacement for licensed CSRs.

Lightspeed and Inteveo EcoLink are also phone-adjacent certified names. An agency that already has a phone platform should not assume Sonant is the only certified voice option. Read both blurbs. Pick one write-back design. Two voice tools writing activities into the same Epic account is how you get duplicate notes.

The arithmetic is the point: more than half of the partners Applied still lists on that page are outside the certified class. "Certified" is the no-extra-Applied-API path for 11 names. It is not "every tool you already use." If your current vendor is in the other-12, ask whether they are in the certification queue before you rip them out.

Applied Epic is still the system of record

Applied describes Epic as a browser-native AMS for mid-size and enterprise independent agencies covering P&C and Benefits. According to Applied Epic, 7 of the 10 largest insurance agencies are standardized on Epic, with Applied attributing that line to Business Insurance Top 100, and 91% of Applied Epic reviewers on G2 rate it 4 stars or higher, attributed to 2024 G2 reviews. Those are Applied's citations on a product page, not this article's independent ranking.

List the Epic objects written (activity, note, attachment). List the call or document types that must transfer to a person. Run 50 real items. Compare Epic to the source recording or PDF.

Put those 50 items on a sheet the principal will actually read. Columns: vendor, Epic object written, licensed person required (yes/no), duplicate of an existing activity (yes/no), customer complaint (yes/no), extra Applied line item on the invoice (yes/no). The last column is the whole point of certification. If it is yes, the program did not do what the August 12 release said. Call Applied and the vendor the same day.

Phone-adjacent certified names can overlap. Sonant writes calls. Lightspeed Voice and Inteveo EcoLink also sit on the phone. Pick one write-back design for activities. If you already pay for RingCentral through EcoLink, adding Sonant without a split of call types will double-log. Draw the split on one page: after-hours and overflow to vendor A, staff-answered calls to Call Companion or EcoLink transcription, never both on the same conversation.

Renewal and quoting vendors are a second collision risk. Outmarket, Quandri, Coverflow, Fulcrum, and Xilo all touch policy work in Applied's blurbs. One agency does not need five. Choose the job (renewal touch, quote comparison, or intake-to-bind) and one vendor. The 12-15 hours, 10x, and 70% lines on that directory are not comparable to each other. They are not even in the same unit.

E&O is not a module. If a bot writes a summary that a CSR later relies on, the file is the file. Keep the recording. Sonant's security and trust pages and Trust Center are the vendor's SOC 2 / GDPR pointers. Your E&O carrier still wants a written list of what the bot is allowed to close. Write it before go-live, not after the first complaint. PIA and Big I / Independent Agent are the association neighborhood, not an Applied certification body.

Applied Recon and Indio are Applied's own adjacent products. They are not in the 11. Do not tell a producer that "certified vendors" includes Applied's native SKUs. It does not.

When that split needs a visible queue, put the transfer-versus-write-back rules on an agentic workflow instead of a hallway rule.

The HVAC owner never sees the certification badge. They see whether the COI request came back the same day. If the agency cannot show an Epic activity for the call, certification did not finish the job.
