Best Inventory Software for Buy Here Pay Here: 6 Tools 2027

Nov 5, 2026

Start with the financing question

Buy here, pay here (BHPH) is a model where the dealer sells the car and also carries the loan, so the lot collects every payment itself. That changes what the software has to do. For a BHPH operation, the real choice is not "inventory tool or dealer management system." It is whether one system covers stock, deal paperwork and the payment side of each contract, or whether you run two systems and connect them yourself.

TL;DR: pick the system that covers financing and collections first, then compare inventory depth, then pay only for the modules you will use.

Our category call is that if your lot carries its own paper, the shortlist should be limited to tools whose own pages describe BHPH work. On the pages we opened, that means DealerCenter, Frazer, AutoDealer.io's Max plan and DealerSocket's IDMS. DealerSocket's IDMS publishes no price, so it needs a written quote before you can compare it.

The stakes are concentrated in the riskiest borrowing. A May 2026 Federal Reserve note on BHPH lending says that, as of Q3 2025, the note's BHPH dealer sample represented about 2% of the total auto loan market, which the note puts at $1.6 trillion. BHPH share: about 2% of the $1.6 trillion auto loan market according to Federal Reserve (2026). The same note says a majority of BHPH balances went to deep subprime borrowers in 2025, a lower share than in 2018.

Key Takeaways

  • Buy here, pay here lots need inventory software that also runs financing and payment collection, so check that scope before you compare features.

  • Frazer, DealerCenter and AutoDealer.io publish prices on their own pricing pages. DealerSocket IDMS, vAuto and Autosoft show no prices on the pages we opened.

  • BHPH language appears on the pages of DealerCenter (a BHPH module), Frazer (BHPH financing), AutoDealer.io (BHPH on the Max plan) and DealerSocket (built for BHPH dealers).

  • Autosoft's platform page does not mention BHPH, in-house financing or payment collection, so get that in writing before you shortlist it.

  • Our weights put BHPH fit and payment support at 45% of the score. Those weights are our judgment, not a market figure.

  • Automation can handle reminders and pricing queues, but a named person must own collections escalations and every price change.

How we evaluated these tools

We opened each vendor's own pricing or product page, then at least two independent sources, and scored the tools on what those pages publish. The weights below reflect what matters to a BHPH lot. They are our judgment, not a vendor claim or a market statistic.

CriterionWeightWhy it matters for a BHPH lot
BHPH and financing scope25%Confirms the tool runs in-house contracts, not only retail sales
Payment and collections support20%Shows whether past-due tracking and reminders are native or added later

Subprime lending shapes the payment side of this decision. Used-vehicle subprime share: 20.60% in Q1 2026 according to Auto Remarketing (2026), reporting Experian's quarterly data. A lot that finances its own used cars carries that credit risk directly, so a system that tracks past-due accounts matters more here than in a cash-sales store.

NIADA's Used Car Industry Report includes a BHPH section, but the report page we opened gives no BHPH dealer count, so this guide does not use one. NIADA says its 2026 data-year report is due in March 2027, according to NIADA (2026).

What each vendor page says

Table 2 shows what each vendor's own page describes. It is not a test of how the software performs for any particular dealer. Where a cell says "Not on pages opened," our reading of the linked pages did not find that capability. It does not prove the product lacks it, and you should confirm it on a demo.

We dropped Excellon from the shortlist. Third-party listings describe it as BHPH-capable, but the pricing page we opened does not describe BHPH at all, so we could not confirm it.

Vendor profiles

DealerCenter

Best fit: a lot that wants a DMS, BHPH portfolio management and reconditioning, and is willing to buy modules separately. The DMS module includes inventory management, contract management and a forms library. The Buy Here Pay Here module covers total portfolio management, credit bureau reporting and automated recurring payments. The reconditioning module tracks recon steps, parts, costs and vendor work from acquisition to frontline-ready.

Limitations: the page prices almost every piece separately, and several items are charged per contract or per use. The total bill grows with activity, so price the full module set rather than the headline module.

Implementation: ask which modules the quote includes, whether the BHPH module is required for your contract type, which payment processor handles recurring payments, and what export format your contract data uses.

Primary evidence: DealerCenter pricing page.

Frazer

Best fit: a used-car dealer who wants a DMS with BHPH financing and retail installment contracts, deployed on the desktop or hosted, with a published price. The pricing page lists inventory management, sales processing, forms, BHPH financing, retail installment contracts "available in most states," a full accounting suite and a long list of partner integrations.

Limitations: the page shows payment processing only as a third-party integration, and it does not describe loan servicing as a native feature. Confirm the collections workflow separately.

Implementation: choose desktop or hosted before the quote. Confirm that the retail installment contract forms work in your state, since the page limits them to "most states."

Primary evidence: Frazer pricing page.

AutoDealer.io

Best fit: a used-car lot that wants one cloud system for inventory, CRM, deal processing and compliance, and is willing to buy the top tier if it needs BHPH. The page places BHPH and loan servicing on the Max plan only. Compliance tools are included on every plan.

Limitations: a smaller lot that needs financing has to pay for the top tier to get it. The Pro plan caps inventory, so a growing lot could be forced up a tier. Basic and Pro allow one team member and one location, while Max is unlimited on both.

Implementation: confirm in writing that BHPH requires Max, and ask how loan servicing data is exported. Enterprise pricing is quote-based.

Primary evidence: AutoDealer.io pricing page.

DealerSocket IDMS

Best fit: an independent or BHPH dealer that wants a web-based system with a collections queue, desking and a full deal lifecycle. The IDMS page describes an Account Management module with configurable workflows, smart automation and collection queues, plus an Inventory Management module for evaluating, acquiring and syndicating vehicles.

Limitations: the page publishes no prices or plans and describes payment processing only in general terms. Third-party listings give conflicting figures, so we did not print any of them. Get a written quote.

Implementation: ask for a demo of the collection queue and payment flow using your own contract types. Ask for the list of integrations that matter to your current DMS and payment processor.

Primary evidence: DealerSocket IDMS page.

vAuto

Best fit: a lot whose main problem is buying, pricing and reconditioning used vehicles. The iRecon page describes visibility into "every vehicle, task, and approval," tracks approval times, flags delayed decisions and records vehicle location.

Limitations: the pages we opened do not describe BHPH financing or payment collection, and they publish no prices. vAuto covers the stock side of the lot, so the collections side stays outside it.

Implementation: the price is quote-based, so ask for the module list, the reconditioning scope and the export access for inventory data.

Primary evidence: vAuto iRecon page.

Autosoft

Best fit: a dealer who needs a general DMS covering sales, service, parts, accounting and inventory, and who does not finance its own contracts.

Red flag: the platform page lists sales, service, parts, accounting and inventory management, but it does not mention BHPH dealers, in-house financing or payment collection. Pricing runs through a demo request. Treat Autosoft as a disqualifier for BHPH until the vendor confirms BHPH in writing.

Implementation: request a demo, ask for a written list of BHPH features, and confirm how contract and payment data can be exported.

Primary evidence: Autosoft platform page.

Pricing and total cost

Table 3 lists only prices published on the vendor pages. Where a vendor publishes no price, the table says "Quote-based." The 12-month column is our arithmetic at list monthly price, not a negotiated or annual-term figure.

Frazer's list prices: $129 per month for desktop and from $199 per month for hosted, according to Frazer. DealerCenter's list prices: $99 per month for the DMS module and $50 per month for Buy Here Pay Here, according to DealerCenter. AutoDealer.io's list prices: $49, $149 and $299 per month on the Basic, Pro and Max plans, according to AutoDealer.io.

Pricing checked October 30, 2026.

Here is how the numbers play out for a concrete case. Assume a lot with 60 vehicles in stock and 120 open contracts; these counts are for the arithmetic only and describe no particular dealer. AutoDealer.io's Pro plan caps inventory at 50 vehicles, according to AutoDealer.io, so 60 vehicles pushes the lot to Max at $299 per month, or $3,588 over 12 months at list price. DealerCenter's DMS and BHPH modules together cost $149 per month, or $1,788 over 12 months, according to DealerCenter, before any per-contract fees. At list prices the gap is $1,800 a year. That gap is only worth paying if Max's BHPH and loan servicing features replace work you would otherwise do by hand.

Where the payment side breaks

This is where BHPH lots lose track of accounts. BHPH loans: 16.63 times more likely in active repossession according to Federal Reserve (2026). The same note puts about 5% of BHPH balances in active repossession in Q3 2025, against less than half a percent at traditional auto lenders.

A proposed US Tech Automations design for collections would start with a daily export from your DMS or servicing system. The trigger is a contract whose payment date has passed with no payment posted. The action adds the contract to a collections queue with days past due and the last contact, then sends a reminder through a messaging provider. The output is a dated log entry for every attempt, including the message status, date_sent and error_code returned by Twilio's Message resource, so a failed text becomes a task for a person instead of silence.

Prerequisites for that design are a scheduled export or API access from your DMS, a messaging account, and written consent and message-timing rules reviewed by your compliance adviser. Human review points are fixed: a collections manager approves any escalation, any change to a payment plan and any repossession step. The workflow queues and records; it does not make those decisions.

Inventory aging and pricing decisions

A US Tech Automations design for inventory would be configured against the same kind of export, with the vehicle's VIN, stock date, acquisition cost and list price. The trigger is a vehicle's days in stock passing a threshold that the lot manager sets. The action pulls cost and list price, computes the margin left at the current list price, and places the unit in a price-review queue. The output is a one-line recommendation to hold, reduce or move the unit to wholesale, with the margin math attached.

Human review stays with the manager, who sets every price. The workflow proposes and the manager accepts or rejects. If you want the alerting side of stock aging covered separately, our guide on inventory aging alerts goes through that decision.

Build it yourself or configure a workflow

The common alternative is stitching the workflow together in Zapier, Make or n8n, or building it in-house. Make's help center describes a Retry handler that removes the failing bundle from the flow while the rest of the scenario keeps running, and it requires Store incomplete executions to be turned on before it works, according to Make's Retry error handler documentation. Zapier and n8n also offer error-handling settings, which this guide did not check against their current pages.

Those tools can keep run histories, retries, error branches and audit evidence when they are configured. What the buyer still owns is observability, idempotency so a retried run does not send a second reminder, escalation paths, access controls and maintenance when DMS field names change. A proposed US Tech Automations design could configure run logs, retry limits and a review queue in the same place, but it has the same prerequisites as any build: export access, a messaging account and a named reviewer.

Who this is for

If your lot finances most of its stock in-house, start with DealerCenter's BHPH module, Frazer's BHPH financing or AutoDealer.io's Max plan, and ask each vendor for its collections workflow in writing.

If your lot sells mostly for cash and finances rarely, a DMS with inventory and accounting may be enough, and BHPH should be a secondary requirement.

If you run several locations, compare AutoDealer.io's Max plan, which is unlimited on team and location counts, against the quote-based options.

Red flags: no written BHPH scope from the vendor, no export of contract, payment and inventory data, and no named person who approves collections escalations or price changes.

Choosing between the six tools

VendorChoose it ifAvoid it if
DealerCenterYou want BHPH, DMS and reconditioning as modules and can price each oneYou need one flat price, since the page prices modules separately
FrazerYou want a DMS with BHPH contracts and a published desktop or hosted priceYou need native collections confirmed in writing, since the pricing page shows payment processing only as an integration
AutoDealer.ioYou want one cloud system and can run BHPH on the Max planYour stock outgrows the Pro plan's inventory limit and you need BHPH on a lower tier
DealerSocketYou want a web-based BHPH system with collection queues and will request a written quoteYou need published prices before a sales call
vAutoYour main problem is buying, pricing and reconditioning used stockYou need BHPH financing or payment collection in the same product
AutosoftYou need a general DMS with inventory and accounting and do not finance your own contractsYou need BHPH confirmed in writing before you sign

Do not bring in US Tech Automations first if your current DMS already runs BHPH contracts, reminders and inventory in one place and your staff uses those features every day, because a configured layer adds a system to maintain. Skip it as well if your DMS will not export contract, payment and inventory data, since every workflow above depends on that export. A lot that wants a finished, vendor-run collections product should buy the vendor's BHPH module before it designs anything.

Glossary

  • BHPH: buy here, pay here. The dealer finances the sale and collects the payments.

  • DMS: dealer management system, the core software for deals, accounting and inventory records.

  • Recurring payment: an automatic payment scheduled on a contract, which the system must record against the right account.

  • Repossession: recovery of the vehicle after a contract default, which carries legal and compliance steps.

  • Desking: structuring the price, payment and terms of a deal before it is signed.

  • Export: a file or interface that moves contract, payment or inventory data out of the system.

  • Incomplete execution: an automation run that stopped on an error and waits for a person or a retry.

Checklist before you sign

  1. Ask whether BHPH financing and recurring payments are native to the product or handled through a third-party integration.

  2. Get the module list and the price of each module; for DealerCenter, price every module you need.

  3. Confirm in writing which AutoDealer.io tier includes BHPH and loan servicing.

  4. Ask for the export format for contract, payment and inventory data before the demo.

  5. Name the person who approves collections escalations and price changes.

  6. Get a written quote and check it against the "Pricing checked October 30, 2026" date in this guide.

Frequently asked questions

Is there one best inventory software for buy here pay here dealers?

No. The right tool depends on whether the same system must also run your financing and collections, and the shortlist above shows which pages describe that.

Do I need a DMS and a separate servicing tool?

Not always. DealerCenter's BHPH module and DealerSocket's Account Management module both describe collections inside the DMS, so check that the module handles your contract type before you buy a second tool.

Which vendors publish prices?

Three of the six publish prices on the pages we opened: DealerCenter, Frazer and AutoDealer.io. DealerSocket IDMS, vAuto and Autosoft show no prices and need a quote.

Can Zapier, Make or n8n replace a BHPH platform?

They can connect systems and run collection steps, but you design, host and maintain them. Make's Retry handler, for example, needs incomplete executions turned on before it works.

How current are these prices?

Pricing checked October 30, 2026. Vendors change prices, so ask for a written quote and check what each plan includes, not only the monthly figure.

Next step for your shortlist

Start with the financing question, then the inventory question. Ask each vendor for its written BHPH scope, its export access and a full quote, then compare the totals against Table 3. If you want to see how a proposed collections or aging workflow would be configured against your own export, see how US Tech Automations configures this.
