Best Leasing CRM for Large Portfolios: 6 Steps (2026)
The short answer for 2,000+ unit operators
A leasing CRM is the system where every prospect, tour, message and application is recorded from first inquiry until a lease is signed. For a large portfolio, the best one is usually the one that connects most deeply to the property management system (PMS) you already run, because most of the pain at scale comes from integration, not from missing features.
TL;DR: if you run Yardi Voyager, start with Yardi's CRM IQ. If you run Entrata, start with LeadManager. If you run RealPage or several different PMS platforms, shortlist Knock and Funnel. If your main gap is first response speed, add an AI layer such as EliseAI on top of whichever system of record you keep. Anyone Home is the fit when you want a contact center and call scoring bundled with the CRM. None of the six publishes a price, so every cost comparison below is a quote you still have to collect.
Adoption of AI inside these tools is already normal. AI integrated into existing systems: 68% of surveyed executives according to Multifamily Executive (2025), reporting on an EliseAI survey of 280 executives. That survey comes from a vendor, so treat it as directional. The same article reports that 52.1% of respondents cited vendor lock-in or integration issues, according to Multifamily Executive (2025), which is why this guide weights integration so heavily.

Key Takeaways
Your PMS narrows the shortlist faster than any feature list. Native CRMs from Yardi and Entrata fit their own PMS customers, while Knock and Funnel position themselves for mixed environments.
All six vendors are quote-based on the pages reviewed. Plan for the quote to include implementation, integration and AI usage lines, not only a per-unit rate.
Most performance claims in this category are vendor-reported. Treat lift percentages as hypotheses to test in a pilot, not as benchmarks.
An AI leasing agent and a CRM of record are different purchases. Decide which system owns the guest card before you compare AI features.
Large portfolios usually need a reporting and escalation layer across systems, whichever CRM wins. That layer can be built in the CRM, in a no-code tool, or by an orchestration partner.
Insist on written data-export and AI-tuning portability terms. Switching costs are the least visible part of the bill.
Who this shortlist is for
This guide is for a leasing or marketing director at a multifamily operator with 2,000+ units who is close to choosing and needs a defensible shortlist. It assumes you already have a PMS and want to improve lead handling, tours, follow-up and cross-community reporting.
Red flags: you have no named owner for API credentials and integrations; your PMS contract prevents third-party write access to guest cards; you expect an AI agent to replace leasing staff judgment on fair housing or pricing exceptions.
How we evaluated these tools
This is an informed buyer's guide built from public information: vendor product and press pages, trade press, and review-style sources I opened on October 8, 2026. Nothing here comes from hands-on testing. Weights below are our own judgment about what matters at 2,000+ units, not a vendor-published scoring system, and the "minimum score" column is a suggested pass bar for your own scorecard.
| Criterion | Weight | Minimum score to shortlist (of 5) | Why it matters at scale |
|---|---|---|---|
| Multi-community renter record | 20% | 3 | One guest card per renter across communities avoids duplicate follow-up |
| PMS and ILS integration depth | 20% | 4 | Read/write scope and real-time versus batch sync drive daily friction |
| AI front office with human handoff | 15% | 3 | First response speed matters only if exceptions reach a person |
| Cross-portfolio reporting and attribution | 15% | 3 | Marketing directors need source-to-lease attribution by community |
| Rollout burden across many communities | 15% | 3 | Phased rollout, training and support decide time to value |
| Pricing transparency | 10% | 2 | Quote-only vendors are scored on what they disclose in writing |
| Vendor scale and evidence quality | 5% | 2 | Independent evidence is thin, so vendor-only claims are discounted |
Feature matrix: what each vendor documents publicly
The matrix records only what the vendor or a source I opened states. "Not stated" does not mean the capability is missing, only that I found no public statement.
| Vendor | Portfolio-wide renter record | AI front-office agent | Tour support | PMS stance | Public price |
|---|---|---|---|---|---|
| Knock | Not stated on pages reviewed | AI Leasing Agent, 24/7 | Self-guided, virtual, agent-led | API-first, PMS-agnostic (2022 statement) | Quote-based |
| Funnel | Guest card follows the renter across communities | Fenix | Via listed partners such as Rently and SmartRent | Yardi, RealPage, Entrata integrations listed | Quote-based |
| EliseAI | Not stated; reviews describe it as sitting on a PMS | Core product | Not stated on pages reviewed | Yardi, RealPage, Entrata, AppFolio, MRI (per a review) | Quote-based |
| Entrata | Cross-property lead tracking, consolidated lead records | Leasing AI; Autonomous Lease Progression | Google calendar integration | Native to the Entrata platform | Quote-based |
| Yardi | Consolidated portfolio view in CRM IQ | Chat IQ companion | Not stated on pages reviewed | Built into Voyager and RentCafe | Quote-based |
| Anyone Home | One prospect record across properties | Leasing chatbot; AI Reporting Assistant | Schedule, reschedule, cancel online | Partner PMS integrations (unspecified) | Quote-based |
What these tools cost and how to total the bill
I did not find a published price on any of the six vendors' own pages. Funnel's packages page names two packages, an Agent Platform and a Renter Platform add-on, and shows ROI calculators with sliders but no dollar rates. The other five direct visitors to a sales conversation. Some third-party sites circulate per-unit estimates for EliseAI, but they disagree with each other and none comes from the vendor, so I have left them out.
Pricing checked October 8, 2026.
| Vendor | Packaging noted on page | Public price | Demo path | Quote lines to request |
|---|---|---|---|---|
| Knock | Part of the RealPage ecosystem | Quote-based | Sales contact | Per-unit rate, AI module, RealPage Exchange scope |
| Funnel | Agent Platform; Renter Platform add-on | Quote-based | Sales contact | Per-unit rate, Fenix usage, Fabric connectors |
| EliseAI | Modules sold separately, per a review | Quote-based | Request demo | Per-unit rate, annual minimum, channel fees |
| Entrata | LeadManager within the Marketing Suite | Quote-based | Demo request | Per-property or per-unit rate, AI modules |
| Yardi | CRM IQ with optional Chat IQ | Quote-based | Sales contact | CRM IQ rate, Chat IQ rate, Voyager dependency |
| Anyone Home | CRM, tours, chatbot, contact center | Quote-based | Demo request | Per-unit rate, contact center seats, call analytics |
To compare quotes fairly, normalize every one to the same four lines: recurring software fee per unit per month, one-time implementation and integration fees, AI or messaging usage charges, and the contract term with data-export rights. The cheapest headline rate often loses once integration labor and AI usage are added.
Vendor profiles: fit, limits and rollout
Each profile separates what the sources document from our read of it.
Knock (RealPage)
Documented: RealPage announced its deal to acquire Knock on September 30, 2022. RealPage scale: over 22 million units worldwide according to Multifamily Dive (2022), which also describes Knock as API-first and PMS-agnostic. RealPage's Knock video page lists an AI Leasing Agent covering chat, voice, text and email, three tour types, and call intelligence.
Our read, best fit: Operators on RealPage OneSite, or mixed-PMS operators who want a CRM owned by a large vendor.
Limitations: No public price. The PMS-agnostic statement dates from 2022, so confirm it for your PMS in writing.
Implementation: Ask what RealPage Exchange covers for your PMS and whether writes are real time. I found no published rollout timeline.
Funnel
Documented: Funnel's integrations page shows real-time pushes to Yardi, RealPage OneSite and Entrata, with Yardi the longest-running integration. The packages page describes Fabric as including a self-serve workflow builder and open connectors to ILS, PMS and LLM vendors.
Our read, best fit: Multi-PMS operators and centralized leasing teams that want one renter record across communities.
Limitations: No public price. Funnel's comparison articles are self-published, and its time-savings claims come with no stated baseline.
Implementation: The Renter Platform add-on pulls applications, screening and the resident portal into the same contract, so scope the pilot to the CRM and AI first.
EliseAI
Documented: EliseAI's Zillow partnership page reports lead-to-tour, lead-to-lease and lead-to-application lifts for renters who used AI Assist between October 2025 and April 2026. Zillow AI Assist lead-to-application lift: 43% according to EliseAI (2026), with no sample sizes or definition of "engage". On funding, EliseAI valuation: $4B after a $350M round according to Bisnow (2026), which also reports the company's claim that about one in six U.S. apartments uses its software.
Our read, best fit: Operators whose bottleneck is inquiry response and who will keep a CRM or PMS as the record. See our EliseAI alternatives guide for comparisons.
Limitations: A September 2026 AI Tools Bakery review says it is not property management software and that conversation history and AI tuning do not transfer if you leave. Bisnow also reported a company playbook that sequences automation toward payroll reduction, so settle your staffing intent before signing.
Implementation: The same review cites a competitor-sourced estimate of several weeks, with about a quarter for a full portfolio. Treat that as unverified.
Entrata
Documented: Entrata's LeadManager page lists a centralized CRM, call tracking, source analytics, Audience Builder and multi-property lead tracking. On June 15, 2026 Entrata announced Autonomous Lease Progression, which routes exceptions to on-site teams, according to Entrata (2026). ButterflyMX's CRM roundup says Entrata does not disclose pricing.
Our read, best fit: Entrata PMS customers who want the CRM, website and ILS tools under one contract.
Limitations: The LeadManager page gives no performance metrics, and its AI product list is not explained in detail. Value depends on staying on the Entrata platform.
Implementation: Because the CRM and PMS are one vendor, confirm which AI modules are included versus priced separately.
Yardi (RentCafe CRM IQ)
Documented: CRM IQ was announced on August 1, 2022 and is built into Voyager and RentCafe, with a consolidated customer-journey dashboard and a Communication Hub, according to the Mann Report. A 2019 release stated RentCafe CRM footprint: more than 3.1 million units according to SalesTechStar (2019), a figure too old to describe the product today.
Our read, best fit: Voyager operators that value one vendor and one data model. See Yardi versus AppFolio for the PMS question underneath this choice.
Limitations: No public price, and no current adoption figure. It is a weak candidate if you are leaving Yardi.
Implementation: Ask whether Chat IQ is a separate line and how its live-agent handoff is staffed.
Anyone Home (Inhabit)
Documented: Anyone Home's CRM page lists prospect tracking across properties, FIT-based next-step guidance, an AI Reporting Assistant and tour scheduling. Inhabit IQ added Anyone Home in April 2022, with terms undisclosed, per ITDigest.
Our read, best fit: Teams that want a contact center and leasing call analysis alongside the CRM.
Limitations: No public price, no quantified results on the page, and a logo wall that does not say which PMS integrations are native.
Implementation: Request the integration list for your exact PMS and ILS combination, with read and write scope per integration.

A worked example: what a shorter vacancy is worth
This is an illustration with assumed inputs, not a measured result. Take a 3,200-unit operator across 16 communities with 50% annual turnover, which is 1,600 move-outs a year, about 133 a month. At an assumed average rent of $1,700, one vacant day costs about $56.67 ($1,700 ÷ 30). If faster after-hours follow-up and chasing stalled applications trims 4 vacant days per turn, the math is 1,600 turns × 4 days × $56.67, or about $362,700 a year before tooling costs. On the labor side, if staff spend 30 minutes per turn reconciling guest-card status between the CRM, listing sites and a reporting sheet at $25 an hour, that is 1,600 × 0.5 × $25 = $20,000 a year. A proposed reporting design would copy each guest-card status change into the HubSpot contact property hs_lead_status so one dashboard shows stalled leads for all 16 communities, using the property documented in HubSpot's contacts API reference.
Where an orchestration layer fits, and where it does not
The CRM decision comes first, and most operators will still end up with gaps between systems: a guest card in the CRM, a lead in an ILS, a lease in the PMS, and a spreadsheet for the weekly leasing meeting. US Tech Automations is designed to sit above those systems rather than replace any of them. A proposed, configurable workflow starts with a trigger: a scheduled export or API read of new and changed guest cards from the CRM you select. The prerequisite is that the CRM and PMS expose an API or recurring export with credentials owned by a named admin, which you should confirm in writing during evaluation. The action matches each record to a community and unit, de-duplicates the same renter across communities, and writes a status field to a reporting destination. The output is a morning exceptions list. A leasing manager reviews that list, and nothing is sent to a prospect without a person approving the rule set first. Cross-posting nurture lists to email follows the same pattern, as described in our guide to connecting Yardi to Mailchimp.
A second proposed workflow handles slow follow-up. The trigger is a guest card with no outbound message inside a window your leasing director sets as policy. The action notifies the community's leasing lead by SMS or email and opens a task, and the output is a log entry with a timestamp, the rule version and the person notified. Human review points are the approval of escalation rules before launch and a weekly review of misfires. This describes a design US Tech Automations could configure, not a live deployment or a measured result.
The real alternative for many teams is building this in Zapier, Make or n8n, or in-house. Those tools can support run histories, retries, error branches and audit evidence when configured well. The buyer must design and own observability, idempotency (so a retried webhook does not create a duplicate guest card), escalation paths, access controls and ongoing maintenance when a vendor changes its API. A proposed US Tech Automations design could configure those pieces differently: idempotency keyed on the CRM's guest-card ID, a shared run log, role-based access for leasing staff, and a maintenance agreement. The prerequisites are the same API access and a named owner, and a human reviews the escalation rules either way. If you have an engineer who wants to own this, the DIY route is legitimate.
When not to use US Tech Automations: if your PMS already ships a native CRM that covers your reporting and follow-up needs, as Yardi's CRM IQ may for a Voyager-only operator, adding a layer buys little. If nobody can own API credentials and monitor failures, a simpler vendor-hosted feature wins. And if your only gap is a single missing listing-site connector, ask the CRM vendor to ship it first.
A six-step process to pick your leasing CRM
Inventory your PMS, ILS and website stack. List versions, contracts and who holds admin rights, because every vendor above depends on them.
Decide who owns first response. Choose whether the CRM, an AI overlay or a contact center answers new inquiries, and keep one guest card as the record.
Get integration scope in writing. For each system, record read versus write access and real-time versus batch sync.
Collect normalized quotes. Use the four lines from the pricing section and ask each vendor for the same unit count and community mix.
Pilot with a few communities and your own scorecard. Use the weights above, and ask for references from portfolios of similar size and PMS.
Negotiate exit terms before signing. Require data export, AI-tuning portability and a defined handoff if you switch.
FAQ
What is the best leasing CRM for a 2,000+ unit apartment portfolio?
The best choice is the one that integrates most deeply with your PMS: Yardi CRM IQ for Voyager shops, Entrata LeadManager for Entrata shops, and Knock or Funnel for RealPage or mixed environments. Anyone Home suits teams that want a contact center bundled in, and EliseAI is an AI layer on top of a record you already keep.
How much does a multifamily leasing CRM cost?
None of the six vendors publishes a price on the pages I reviewed, so every cost is quote-based. Pricing checked October 8, 2026. Ask for the same four quote lines from each vendor so the totals are comparable.
Should I replace my CRM with an AI leasing agent like EliseAI?
Usually not, because reviews describe EliseAI as sitting on top of a PMS rather than replacing one. Keep a system of record, add an AI agent where response speed is your bottleneck, and confirm exit terms for conversation history.
Can Zapier, Make or n8n replace the integration work between these tools?
They can connect the systems and, when configured with retries, error branches and run histories, they can produce audit evidence. You still own idempotency, escalation, access controls and maintenance, so budget an owner for it.
How long does a rollout take across many communities?
Vendors do not publish rollout timelines, and one review quotes several weeks for EliseAI based on a competitor's claim. Plan a phased pilot on a few communities first, then scale once integrations and AI handoffs behave.
Do I need a separate CRM if my PMS already has one?
Not necessarily, since Yardi and Entrata both bundle CRM tools with their PMS. A separate CRM makes sense mainly when you run several PMS platforms or need a single renter record across them, which is the case Funnel and Knock target.
Choosing and next steps
Start with your PMS, score the vendors against the weighted criteria above, and collect normalized quotes before any pilot. If the shortlist leaves gaps between systems, see how US Tech Automations configures this as a reporting and escalation layer above whichever CRM you pick.
