Intercom vs Gainsight: Which One in 2026?
If you need a helpdesk with an AI agent on the same inbox, the answer is Intercom. If you need a customer-success operating system with health, journeys, and a timeline on the account, the answer is Gainsight. They are not close, and neither vendor publishes a figure we may print. The rest of this page is the workflow evidence a partner will ask for after you say that out loud.
TL;DR: Intercom owns the conversation. Gainsight owns the account over time. Pick Intercom when first-response time is the slide. Pick Gainsight when NRR and the QBR pack are the slide. If both slides exist, budget both quotes. Ask seats, modules, volume, SSO, and migration. Do not paste a remembered grid.
How we evaluated
Verdict first still needs a method. We scored source-of-truth object (conversation versus account), native health and journeys, inbox and AI-agent depth, in-app guidance, implementation weight, and export format. Price is excluded because Intercom and Gainsight are both quote only on this page.
Retention is why the object split is load-bearing, and according to ChartMogul, companies with $15M–$30M+ ARR saw 40% of their growth from expansion in 2024. Expansion lives on the account. Tickets live on the user. Mixing them in one tool is how the 40% becomes a surprise.
The economy you sell into is still small-business heavy, and according to SBA Office of Advocacy, small businesses make up 43.5% of gross domestic product and 45.9% of private-sector employees (62.3 million workers). A QBR pack that cannot see those accounts as accounts is a slide, not a system.
Who Intercom is for
Intercom is for a SaaS support and lifecycle team that measures conversations: inbound chat and email, tickets, in-app messages, product tours, and an AI agent that shares the inbox. Intercom's homepage describes Fin as averaging a 76% resolution rate across 12,000-plus customers. Treat that as a vendor claim to verify on your knowledge base. Bessemer separately described Fin as a growing product with a 65% average resolution rate and more than 6,000 customers in its 2025 Cloud 100 write-up; that is still a support outcome.
The fit is the agent workspace. Collision detection, macros, knowledge, bot-to-human handoff, and outbound that can look like onboarding. The CRM can receive the user. Intercom is not the CS OS.
Skip Intercom as a Gainsight substitute when the buying committee is CS and the artifact is a health model. Tags are not journeys. Ask the quote for agent seats, AI volume, outbound, and conversation export. List price is not published here.
Who Gainsight is for
Gainsight is for a SaaS CS org that assigns people to a book of accounts and needs software that remembers the book: health scores, timelines, success plans, journeys, and often a product-experience layer for in-app behavior. Executive business reviews, renewal forecasts, and "who is drifting" queues are the job.
The fit is the account object. Usage, support volume, NPS, and billing should all land on that object. In-app guidance exists in the product-experience module, which is how Gainsight shows up in Pendo-shaped conversations, but that is a module question for the quote, not a reason to skip the helpdesk.
Skip Gainsight as an Intercom substitute when the buying committee is Support and the artifact is an SLA. CSMs should not be the public inbox. Ask the quote for CS versus product-experience modules, objects, sandbox, and who owns the data model. Quote only.
Inbox versus success OS
A bug report is an Intercom conversation. A bug report on a renewal-week enterprise account is a Gainsight timeline event that should change health and assign a CSM step. You can send the same webhook to both. You should not pretend one UI does both jobs well.
A usage drop is a Gainsight health move. In Intercom it is a data event you remembered to send, then an outbound you remembered to write. US Tech Automations can take the usage-drop event and open a save offer; that pattern is in churn-save offers on usage drop. The native home for the score is still Gainsight.
A billing failure is neither product's core job. Keep it in billing, and use SaaS billing failure recovery as the checklist. You may notify Intercom as a ticket and Gainsight as a health component. Do not rebuild dunning inside either tool.
Inbound forms that create the person before either tool sees them are a capture job, not an inbox job. The playbook for that capture path is form-to-CRM automation. Intercom and Gainsight should consume the resulting contact, not invent a second one.
When Intercom closes a cancellation conversation, US Tech Automations can write the account property Gainsight uses for health. When Gainsight crosses a health threshold, US Tech Automations can open the Intercom conversation so support is not blind. Those are the two steps that make a dual-stack bearable.

Intercom pros and cons
Pros. Conversations are first-class. Agents share a workspace. An AI agent can sit on the same record. Tours and outbound cover lightweight lifecycle. Omnichannel support is the motion.
Cons. Health is a DIY tag model. Journeys are not native. CSMs will work like agents. Quote only; no figure here. Resolution-rate claims need a pilot.
Gainsight pros and cons
Pros. Account, health, timeline, and journeys are the product. QBRs have a home. Product experience can cover some in-app needs if you buy that module. NRR conversations have an object.
Cons. Not a public helpdesk. Implementation is a project. Support SLAs will not live here cleanly. Quote only; no figure here.
What switching actually costs
Intercom to Gainsight is not an inbox migration. It is standing up an account model and deciding what happens to tickets. Export users, companies, tags, and the events you trust. Map "at risk" tags into health. Keep a helpdesk.
Gainsight to Intercom is not a CS upgrade. It is giving up the health trend and gaining conversations. Export open tasks and health components to a sheet. They will become series or CRM tasks.
Govern the files, and according to NIST, CSF 2.0 added a sixth function, Govern, and a catalog of more than 50 other cybersecurity documents. Conversation logs and CS timelines both hold customer content.
Labor is priced in wages even when software is quote only, and according to U.S. Bureau of Labor Statistics, the unemployment rate was 4.1 percent in July 2026 while average private hourly earnings were $37.62. A CSM rebuilding journeys by hand at that wage is a line item.
Plan a month of mapping and a month of dual-running. Cut SLAs only when collision detection works. Cut health-based outreach only when the score matches a week of known-good accounts.
Verdict
The short answer does not change after the tables. Intercom if the budget owner is Support. Gainsight if the budget owner is CS. Both if both owners have a real job, which is the usual honest SaaS stack.
Do not let an AI-agent demo decide a CS purchase. Do not let a health-score demo decide an inbox purchase. according to Bessemer Venture Partners, the 2025 Cloud 100 reached $1,117 billion in aggregate value and the other product's Fin write-up in that report cited 6,000-plus customers and a 65% average resolution rate. Resolution is Support's metric. NRR is CS's metric. Keep them labeled.
If you need the wiring between the two objects, start from US Tech Automations and the commercial terms on pricing. Customer-service agents that can sit on the inbox are under customer service agents.
Support inbox versus renewal math
Intercom is the conversation a customer is in right now. Gainsight is whether that customer will still be here in two quarters. A support lead and a CS lead should not share a bake-off without saying which clock they are on.
If the leak is "tickets sit in email and nobody sees product usage," Intercom is the object. If the leak is "logos churn and we find out from finance," Gainsight is the object. Putting both on one quote because both say "customer" is how you fund two dashboards and still miss a cancel.
SaaS median net revenue retention in Bessemer's 2024 State of the Cloud was 110% for the $10–50M ARR band. That is not your score. Your score is logo count that did not have a named owner. ChartMogul's $145K ARR per FTE is also not a reason to skip a conversation product.
A week: Monday, count open conversations older than 24 hours. Tuesday, count accounts with no touch in 30 days. The larger pile is the purchase. Do not migrate both piles in one sprint. Quotes only — seats, product-usage connectors, and who owns playbooks. Date the PDFs.
How should we split Intercom and Gainsight if we already own one?
Keep the one that already has an owner. Add the other only after failed conversations or silent churn is a counted number, not a vibe. Date the second quote 60 days later.
the other product without a named first-response owner is a darker email inbox. the other product without a named health-score owner is a dashboard nobody opens. Write those two names on the quotes. If they are the same person, you can afford one product this quarter, not two. Median NRR of 110% in Bessemer's $10–50M band is not a license to buy both. ChartMogul's $145K ARR/FTE is not a conversation-tool KPI. Count conversations older than a day and logos untouched for 30 days. Buy the larger pile. Date the PDF. Kill the shadow inbox or the shadow spreadsheet the same week the login arrives, or Goldman Sachs' 62% ROI story will not be yours.
FAQs
Did the verdict pick a single winner for every SaaS team?
No. It picked a winner per job. Conversation job: Intercom. Account-success job: Gainsight. Mixed jobs: both quotes.
Can we print a list price for either vendor?
No. Both are quote only here. Ask seats, modules, volume, SSO, sandbox, and migration.
What if Support already uses Intercom outbound as our health model?
Inventory the series. Keep true support macros in Intercom. Move usage-drop and renewal-minus-90 series onto Gainsight journeys. Dual-sending both is how accounts mute you.
How long does a switch take?
Two months if data is clean: one to map, one to dual-run. Longer if usage events were never standardized.
Who owns cancellation?
Support owns the live conversation. CS owns the save offer. One account property, written from either tool.
Should a Fin pilot replace a Gainsight evaluation?
No. A Fin pilot answers resolution rate. A Gainsight evaluation answers whether CSMs can run the book. Run the pilot that matches the slide you have to defend.
What if support already lives in Intercom and churn is still a surprise?
Then you do not have a CS object. Gainsight-shaped work is the second purchase, 60 days later, with a named health owner. Do not add it the same week you finally staff first response. Bessemer 110% NRR is not a surprise-churn cure by itself. Count untouched logos.
Should product analytics be in this bake-off?
No. That is a Pendo-shaped page. Mixing it here is how you buy a guide tool and call it churn software.
If first response is staffed and logos still vanish, the inbox is not the leak. Schedule the CS-platform quote 60 days out with a named health owner. Do not hire a second inbox instead.
Write first-response SLA and untouched-logo SLA on the same whiteboard. The worse SLA is the purchase. ChartMogul $145K ARR/FTE is not that whiteboard. Your two counts are.
If you cannot staff first response, do not buy a churn platform to compensate. You will still miss the ticket and the logo. Staff the inbox or admit you will not. Then pick.
Count both piles on the same Monday. Buy the larger one. Date the quote. Stop there.
