6 Best Receivables Follow Up Software for Manufacturers 2027
Key Takeaways
Pick by ERP fit first. A follow-up tool only pays off if payments and dispute status post back to the ledger you already run, without re-keying.
Chaser is the only vendor in this set that publishes list prices for its paid plans on the pages reviewed. The others are quote-based or not published.
Upflow publishes a free tier and its payment fees, but its paid tiers are quote-based, so budget from a written quote.
Centime, Versapay, Upflow and Chaser name specific ERPs on their own pages. Confirm your ledger is on that list before you request quotes.
Tesorio and Billtrust sell AI prioritization, agents and forecasting on top of collections. Those features only help if someone works the exception queue every day.
A workflow layer such as US Tech Automations can route exceptions to people, but it does not replace the follow-up tool's sending or posting.
TL;DR: Shortlist one ERP-native option that names your ledger and one published-price option for comparison, then request written quotes that include payment fees and a list of what posts back to the books.
What the tool has to do before you compare vendors
Receivables follow-up software sends and logs payment reminders for open customer invoices, escalates overdue accounts to a named person, and writes payment and dispute status back to the accounting record. Late payment is the everyday problem behind that work. Atradius's 2026 US report puts it this way: US late payments: 22% of B2B receivables according to Atradius (2026). That is an average across US businesses, and the report page I opened gives no manufacturing split, so treat it as backdrop rather than a manufacturing benchmark.
Who this is for
This guide is for an owner or operations lead at a small manufacturer who keeps open invoices in QuickBooks Online, Xero, NetSuite, Sage Intacct or a similar ledger, and who spends real time each week on reminders and follow-up calls.
Red flags: no named owner for disputes and short-pays; a ledger that none of the shortlisted tools name; an expectation that software will fix pricing or delivery disputes that belong to sales or operations.
How we evaluated these tools
The comparison rests on public vendor pages, vendor documentation and two independent sources, not on hands-on use of the products. The weights below are our judgment about what breaks a manufacturer's receivables process. They are not vendor-published or third-party scores.
| Criterion | Weight | What to check |
|---|---|---|
| ERP fit and payment posting | 25% | Named connections to your ledger, and whether payments post back without re-keying |
| Follow-up control | 20% | Cadence rules by aging bucket, channel options, and whether a person can pause an account |
| Dispute and partial-payment handling | 15% | Dispute queues, payment plans, and who owns resolution |
| Cash application | 15% | Matching remittances to open invoices without manual entry |
| Price transparency | 15% | Published list prices, or a clear basis for the quote |
| Implementation and admin load | 10% | Stated go-live time, setup fees, and staff hours |
The heaviest weight goes to ERP fit because a reminder that sends correctly but posts a payment to the wrong place creates more work than it saves. Readers who have compared the insurance agency payment reminder guide will notice the weights differ here: renewal timing matters less than ledger posting and disputes.
Feature matrix: what each vendor publicly says
The matrix normalizes what each vendor publishes on the pages reviewed. A cell that reads "Not listed" means the pages did not mention the feature, which is not the same as the product lacking it.
| Vendor | Public list price | Named ERP connections | Payment portal | Cash application | Dispute handling | Public API |
|---|---|---|---|---|---|---|
| Upflow | Free Discover tier; paid tiers quote-based | QuickBooks Online, Xero, NetSuite, Sage Intacct | Upflow Payments (card and ACH) | Cash Application Agent (Accelerate and up) | Documented in help pages | REST API (Grow and up) |
| Chaser | Published, USD monthly list | QuickBooks Online, Xero, Sage Intacct, NetSuite, AccountsIQ and others (per Chaser's integrations page) | Chaser Pay (card, ACH) | Not listed | Yes, all plans | Not stated |
| Tesorio | Quote-based | Not named | Payment Portal, posts to ERP | Yes (vendor auto-match claim) | Not listed | Not stated |
| Centime | Quote-based | QuickBooks, NetSuite, Sage Intacct | Yes (ACH, card, check) | Yes (configurable matching) | Not listed | Not stated |
| Billtrust | Quote-based | Not named for Collections | Not listed | Not listed | Yes (Cases, 2025 release) | Not stated |
| Versapay | Quote-based | NetSuite, Sage Intacct, Dynamics 365 Business Central, Dynamics 365 Finance and Supply Chain Management | Yes (customer portal, ACH, card) | Yes (machine learning) | Yes (self-service) | Open APIs or flat files |
Pricing and total cost of ownership
Pricing checked October 30, 2026. Chaser is the only vendor here that publishes list prices for its paid plans, so the other rows describe quote terms rather than numbers.
Chaser publishes its receivables plans in five currencies. In USD the monthly list is $259 for Compact, $779 for Core and $1,169 for Complete, and annual billing is 10% lower, according to Chaser.
| Plan | Monthly (USD) | Billed yearly, total (USD) | Revenue limit (USD) | SMS credits per month |
|---|---|---|---|---|
| Compact | $259 | $2,797.20 | Up to $5M | 100 |
| Core | $779 | $8,413.20 | Up to $13M | 600 |
| Complete | $1,169 | $12,625.20 | Up to $250M | 1,200 |
| Custom | Quote-based | Quote-based | Contact sales | Quote-based |
Upflow lists a free Discover tier that includes the dashboard and AR health benchmarking, while its paid tiers are sized by annual invoiced revenue and invoice volume and are quote-based, according to Upflow.
| Tier | Annual invoiced revenue up to | New invoices per year up to | Price |
|---|---|---|---|
| Starter | $10M | 40,000 | Quote-based |
| Grow | $25M | 100,000 | Quote-based |
| Scale | $50M | 200,000 | Quote-based |
| Accelerate | $100M | 300,000 | Quote-based |
| Top tier (listed as Entreprise) | Over $100M | 700,000 | Quote-based |
| Discover | Not stated | Not stated | Free |
The tier caps and revenue bands above come from the same Upflow page. Its payments terms are the figure most buyers miss: Upflow card fee: 3.5% plus $0.30 per payment according to Upflow. ACH is 0.8% capped at $5, and the page lists a $390 monthly platform fee while also describing Upflow Payments as a paid add-on, so confirm how that fee applies to your plan.
Chaser's domestic card fee on Stripe is 3.40% plus $0.30, ACH is 1.30% capped at $5, and its dedicated-specialist service starts at $1,199 a month on the Compact tier, indicative until a formal quote, according to Chaser.
| Vendor | Published list price | Costs to add to the total |
|---|---|---|
| Upflow | Free Discover tier; paid tiers quote-based | Card 3.5% + $0.30; ACH 0.8% capped at $5; $390 monthly platform fee (confirm applicability) |
| Chaser | $259 to $1,169 per month (USD) | Domestic cards 3.40% + $0.30; ACH 1.30% capped at $5; AR forecast $11 per month on Compact and Core |
| Tesorio | Quote-based | All-in annual quote from sales |
| Centime | Quote-based | Implementation and subscription quote |
| Billtrust | Quote-based | All-in annual quote from sales |
| Versapay | Quote-based | All-in annual quote from sales |
Total cost of ownership is the subscription, payment fees, setup, and the staff hours that still go to exceptions. Ask each vendor for one all-in annual figure that includes add-ons such as forecasting or extra email inboxes, and compare that number rather than the headline tier.
Where the collector's hours go: a worked example
Illustrative only: suppose a manufacturer issues 1,200 invoices a year and 20% go past due, which leaves 240 invoices needing follow-up. If each one takes two manual touches of 6 minutes, that is 240 × 2 × 6 = 2,880 minutes, or 48 hours a year of collector time before any dispute work. When a corrected invoice PDF has to replace the one a reminder links to, Upflow's documented call is https://api.upflow.io/v1/invoices/{invoiceId}/pdf with a POST, and the documentation says the PDF pulled through the native integration is then bypassed, so a person should confirm which copy the customer will see before the send (Upflow's update-PDF page).
Vendor profiles
Each profile lists best fit, limitations, implementation and the primary page it rests on.
Upflow
Best fit: a manufacturer on QuickBooks Online, Xero, NetSuite or Sage Intacct that wants a tiered AR platform and a free starting dashboard. The Starter tier names QuickBooks Online, Xero, Pennylane and Rillet, and the Grow tier adds NetSuite and Sage Intacct.
Limitations: paid tiers are quote-based, the Cash Application Agent appears from Accelerate upward, and the Collections Agent appears from Scale upward. Payments are a separate product with its own fee structure.
Implementation: native connectors to the ledger, a REST API on Grow and above, and a dedicated onboarding specialist on Grow. The pricing page gives no go-live timeframe.
Evidence: Upflow pricing and Upflow's invoice PDF documentation.
Chaser
Best fit: a team that wants a published USD monthly price and reminders across email, SMS, automated calls and letters. Disputes, payment plans and late-payment fees are listed as available on all three receivables plans.
Limitations: AR forecasting is a paid add-on on Compact and Core, multi-entity is not available on Compact, payment plan terms are not published, and region-specific Chaser Pay fees are marked "coming soon." Chaser's integrations page lists connections to QuickBooks Online, Xero, Sage Intacct, NetSuite and others, but the pages reviewed do not describe cash application, so ask what posts back to your ledger.
Implementation: the pages reviewed give no go-live timeframe. The dedicated-specialist option requires a formal quotation after an assessment.
Evidence: Chaser's detailed pricing breakdown and Chaser's integrations page.
Tesorio
Best fit: finance teams that want the follow-up work drafted and sent, plus a forecast of when cash will arrive. The vendor's Collections Agent drafts follow-up emails, reads replies and escalates to staff when needed, and its AR Forecast flags risks or gaps against targets.
Limitations: no plan names or prices are published on the page I opened, and the route it offers is "Speak With a Human." The page does not name specific ERPs. Its cash application result is a vendor claim: Tesorio claims a 95%+ auto-match rate, according to Tesorio, and I could not verify that independently.
Implementation: not stated on the page; expect a sales-led process before any cost is known.
Evidence: Tesorio cash application page.
Centime
Best fit: manufacturers on NetSuite, Sage Intacct or QuickBooks that want receivables inside the ledger. The product page says it embeds natively in the ERP for "on-demand data sync, invoice matching, and cash reconciliation."
Limitations: no prices are published, and the only pricing action on the page is a demo request. Its named AR connectors are QuickBooks, NetSuite and Sage Intacct; the Dynamics integration it lists is for payables, so Dynamics AR users should ask. The manufacturing material linked from its site is its own comparison list, not an independent ranking.
Implementation: Centime go-live: 7 to 21 days according to Centime. That is the vendor's own claim.
Evidence: Centime AR automation page.
Billtrust
Best fit: larger AR teams that want AI-powered prioritization, predictive payment analytics and dispute workflows. The collections page names "AI-powered collections prioritization" and "Predictive payment analytics," and says disputes can be tracked from identification through resolution.
Limitations: the collections page publishes no pricing. It cites 190+ AP integrations according to Billtrust, which concerns payables connections rather than the collections module, so ask which ERPs the collections product connects to directly.
Implementation: not stated on the page. On July 16, 2025, Billtrust announced Agentic Email, Cases, Credit Review and Collections Analytics for Collections, according to TechIntelPro (2025). That announcement gives no price or availability details.
Evidence: Billtrust collections page.
Versapay
Best fit: teams on Oracle NetSuite, Sage Intacct or Microsoft Dynamics 365 that want a customer portal with ACH, card and self-service dispute handling. The page lists native integrations for NetSuite, Sage Intacct, Dynamics 365 Business Central and Dynamics 365 Finance and Supply Chain Management.
Limitations: no prices are published, and the call to action is "Talk with an expert." QuickBooks is not on the native list, so QuickBooks users should ask for the API or flat-file path. The page is vendor marketing, and its customer quote is vendor-selected.
Implementation: other ERPs can connect "through open APIs or flat files," according to the page. No go-live timeframe is published.
Evidence: Versapay's collaborative AR page.
Build it yourself or buy: a fair comparison
Many shops consider stitching this together in Zapier, Make or n8n instead. Make's help pages show what a configured scenario can keep: an incomplete-execution record with an ID, creation date and size, retries that reuse the original module settings, and resolved records that Make deletes automatically after 30 days, according to Make. Those features are real when configured, and a scenario can keep a run history and an error branch.
What the buyer still has to design and own is idempotency, so a retry does not send the same reminder twice; escalation to a named person; access controls on customer contact data; and maintenance when the ledger changes its fields. Make's documentation also says retries run only while the scenario is active and that a deleted incomplete execution cannot be restored, so those become operating rules for whoever owns the build.
A proposed, configurable design from US Tech Automations would not be a live deployment, but it could work like this. Trigger: a scheduled export of open invoices from the ledger, such as QuickBooks Online, NetSuite, Sage Intacct or a CSV, lands each morning. Action: US Tech Automations would configure rules that assign each invoice to the aging cadence the AR owner has written, queue the reminder in the chosen follow-up tool through its import or API, and hold any invoice that carries a dispute flag, a missing contact or a credit hold. Output: a sent-reminder log and a daily exceptions list for the AR owner. Prerequisites: read access to the export or API, a written aging policy, and API access to the follow-up tool, which for Upflow sits on the Grow tier and above. Human review points: the first send of each reminder template, every held account, and any change to a payment plan.
A second proposed flow would run when a payment is recorded in the follow-up tool or the ledger. The configured step would match the payment to the open invoice, post the status back, and flag short-pays, duplicates and overpayments into a reconciliation exception queue. It needs write access to the ledger or a documented import path, plus a rule for when a short-pay becomes a dispute. Every short-pay, every refund and any payment that cannot be matched on invoice number should go to a person.
When NOT to use US Tech Automations: a simpler option wins when you have only a handful of open invoices and the follow-up tool already sends the cadence you need; when the ledger's own reminders cover your schedule and nobody will own a separate exceptions queue; or when the real problem is pricing or delivery disputes that belong to sales or operations. In those cases a built-in reminder or a single follow-up tool is cheaper to run than adding a workflow layer.
Decision checklist before you request quotes
Name the ledger that holds your open invoices, and confirm each shortlisted vendor names it on its own pages or in writing.
Write the reminder cadence as a table: which message goes out at which days past due, and through which channel.
Decide who owns disputes and short-pays, and how fast they must be answered.
Ask every vendor for one all-in annual figure that includes payment fees, setup and the add-ons you will need.
Ask for a written list of what posts back to the ledger without re-keying, and what does not.
Ask what happens when a customer's contact email or invoice PDF is wrong, and who fixes it.
Frequently asked questions
Is there a free receivables follow-up tool for manufacturers?
Upflow lists a free Discover tier that gives access to the dashboard and insights, while its paid tiers are quote-based. The free tier does not replace a paid follow-up engine, so check which reminder and posting features are included before you rely on it.
Which vendors publish prices?
Only Chaser publishes list prices for its paid plans on the pages reviewed. Upflow publishes a free tier and its payment fees, and the other four vendors are quote-based or not published.
Can Zapier, Make or n8n replace a dedicated tool?
Yes for a small set of rules, if you own the run history, retries, escalation and access control yourself. Make's documentation shows what a configured scenario can keep, and it also shows the operating rules you would inherit.
Does a follow-up tool replace my accounting software's reminders?
No. A follow-up tool works on top of the ledger, so the ledger stays the record for invoices and payments, and the tool must post status back to it.
What if my ERP is not on any vendor's list?
Ask for an API or flat-file path and a written sample of posted entries before you sign. Versapay's page says other ERPs can connect through open APIs or flat files, so that is the first question to put to each vendor.
The shortlist to take into quote requests
Take two vendors into quote requests: one ERP-native option whose page names your ledger, and one published-price option for comparison. If your books run on QuickBooks Online, NetSuite, Sage Intacct or Xero, Upflow, Centime and Chaser name those systems on their own pages, Chaser also publishes a USD price list, and Tesorio, Billtrust and Versapay need a sales conversation before any cost is known. Ask every vendor for a written all-in annual figure and a list of what posts back to the ledger, and see how US Tech Automations configures this when the exception queue is the part that breaks.
