Lawmatics vs Intaker: Which Intake CRM Fits (2026)

Oct 12, 2026

What you are actually choosing

Lawmatics and Intaker are not two prices for the same job. Lawmatics is an intake CRM: the record of the prospective client, the pipeline, the follow-up, and the report of which source signed. Intaker is the front door on the channels a consumer actually uses, including website chat, text, Google Local Services Ads, WhatsApp, Meta, and phone. Legal intake software is the set of tools that move a prospective client from first contact to a qualify, book, or decline decision. TL;DR: choose Lawmatics when the firm needs that record and the nurture around it, and choose Intaker when leads arrive in chat and messaging and then need a CRM behind them. Many consumer firms will buy both, because Intaker publishes a setup guide for Lawmatics rather than asking you to rip the CRM out.

Neither product has been renamed, merged, or shut down. Lawmatics still sells under that name as a private, venture-backed company. Series A round: $10 million according to PitchBook (2021), dated December 15, 2021, with the same profile listing a 2017 founding and $14.6 million raised in total. Intaker still sells under that name. Reported firm count: 2,000+ firms according to Legaltech Hub (2026), which also lists a 2019 founding year and describes the product as a communications hub across chat, SMS, phone, WhatsApp, Meta, and Local Services Ads. Treat the firm count as Legaltech Hub's report of Intaker's claim, not as a census.

Speed is why this search is a buying search. In a 2025 study that contacted 1,333 U.S. law firms, No-response share: 26% of firms according to Hennessey Digital (2025). That page also reports that 25% answered an online lead in under 5 minutes and 56% answered within an hour. A tool that only stores the lead after a person has already replied does not fix that gap. A tool that only chats, and never shows which campaign produced the signed matter, does not fix the next gap.

Key Takeaways

  • Lawmatics is the intake CRM. Intaker is the multichannel capture layer, and Intaker's help center documents a Lawmatics connection, so this is often a stack rather than a coin flip.

  • Neither vendor prints a dollar price for the base subscription. Both are quote-based. Lawmatics does print Merlin AI allowance prices, starting at $149 for 50 outcomes a month.

  • The Essential plan on Lawmatics and the Premium plan on Lawmatics each require 3 users. The Enterprise plan on Lawmatics requires 5. A solo seat is not on the public grid.

  • Merlin outcomes stack. One lead can count as more than one outcome, unused outcomes do not roll over, and the smallest allowance charges $3.25 for each outcome past 50.

  • Intaker counts a unique website visitor once per year and emails the firm at 80% of the plan's visitor cap. Past the cap, lead detail locks until an upgrade, while capture continues.

  • Skip a third orchestration layer when a native Intaker-to-Lawmatics handoff, or a maintained Zapier, Make, or n8n flow with a named reviewer, already covers the path.

Who this is for

This comparison is for the intake manager at a consumer-facing firm, typically personal injury, family, criminal defense, or similar high-intent practices, who already knows the shortlist is Lawmatics versus Intaker and wants the operational difference. You are deciding who owns the first reply, who owns the pipeline, and what still has to be retyped into the case system. The same study's Median reply time: 13 minutes according to Hennessey Digital (2025) is a useful bar for the trial, and that page says 87% of firms used a phone call when they responded in 2025. If your team cannot beat a 13-minute median on the channels you actually buy, the CRM reports will describe leads you already lost.

Red flags: you need a single paid seat, because the public Lawmatics grid starts at 3 users on the Essential plan and the Premium plan; you need a dollar figure for the base product before any sales conversation, because neither vendor prints one; you only need a short website form that already creates a matter in Clio, MyCase, or Filevine, and nobody is missing chat, text, or Local Services Ads replies.

Firms already living in Clio should read the Lawmatics and Clio Grow comparison and the wider Clio and Lawmatics comparison before treating Lawmatics as automatic. Firms on 8am MyCase should read the Lawmatics and MyCase comparison, because Intaker also documents a MyCase connection and the "versus" may be the wrong shape.

How we evaluated these two products

We weighted six decisions an intake manager can defend in a partner meeting. Weights sum to 100 points. They are our buying criteria, not a vendor score and not a ranking from reviews. We did not run either product, and we did not invent a star rating. Channel coverage is 20 points because a consumer lead that starts on chat, text, or a Local Services Ads message never enters a CRM that only watches web forms. Qualification and routing are 18 points because the expensive mistake is a coordinator spending the morning on cases the firm will not take. Follow-up until a consult is booked is 17 points because the Hennessey study shows a large share of firms answer late or not at all. Pipeline and source reporting are 15 points because the marketing budget needs a signed-matter source, not a stack of chat transcripts. Handoff into the case system is 15 points because intake that dies at "hired" creates a second data-entry job. A price you can read before a sales call is 15 points because both base products are quote-based and the only printed dollars we found sit on Lawmatics' Merlin allowance page.

CriterionWeightPoints of 100What the intake manager is deciding
Channel coverage20%20Chat, SMS, Local Services Ads, WhatsApp, Meta, and phone, or forms and a CRM record
Qualification and routing18%18Who applies case type, urgency, and location rules before a person dials
Follow-up to a booked consult17%17Whether the second and third touch happen without a coordinator remembering
Pipeline and source reporting15%15Whether the firm can see stage, source, and campaign result in one record
Handoff into the case system15%15What is retyped when the prospect becomes a matter in Clio, Filevine, MyCase, or similar
Readable price before a sales call15%15Whether the monthly bill can be modeled from a public page

Our read of those weights: Intaker leads on channel coverage if the homepage list matches your actual lead mix. Lawmatics leads on pipeline, source reporting, and marketing controls once the lead is a record. Qualification is split. Lawmatics sells Merlin Qualify as an outcome-priced add-on on the Premium plan and the Enterprise plan, not on the Essential plan. Intaker names agents for Local Services Ads, cold leads, and SMS on its homepage. Handoff is also split. Intaker documents connections into Lawmatics and into several case systems. Lawmatics is the system many of those connections write into, and it documents its own outbound webhooks on the Premium plan. Price clarity favors neither base subscription. It favors Merlin only, and only after you already accept a quote for the CRM.

Published limits, side by side

The cells below are published limits or an explicit "not published." They are not scores. Where a vendor's page shows a check with no number, the cell says Included or Not listed rather than a guessed cap.

Our read: if the argument in the room is "which database is the lead," Lawmatics is the product built for that argument. If the argument is "we lose people who text, chat, or message from an ad at 8 p.m.," Intaker is the product built for that argument. Buying Lawmatics does not, by itself, put Arthur, Owen, and Jane on the website. Buying Intaker does not, by itself, give you the 50,000-email marketing cap or the custom dashboards on the Premium plan on Lawmatics.

Intaker's integration index is a fact, not a promise about field quality. The help page lists setup guides for Lawmatics, Clio Manage, Clio Grow, Filevine, MyCase, Lead Docket, Captorra, Salesforce, PracticePanther, LawRuler, Zapier, Calendly, and Acuity, among others. A logo or a guide means a connection exists. It does not tell you which fields survive, who creates the duplicate, or whether a conflict check still waits on a person. Ask for one real lead, from the channel you care about, written into the system you already pay for.

Pricing checked against the vendor pages

Pricing checked October 10, 2026. The Lawmatics pricing page describes tailor-made plans and does not print a dollar subscription for the Essential plan, the Premium plan, or the Enterprise plan. Intaker does not publish a pricing page with plan dollars. Both base products are quote-based. Do not budget from old blog posts that quote retired Lawmatics list prices. Those figures are not on the page the vendor shows now.

On the current comparison grid, Essential user minimum: 3 seats according to Lawmatics (2026). The same page lists 3 seats on the Premium plan, 5 seats on the Enterprise plan, 500 contacts on the Essential plan, 10,000 contacts on the Premium plan and the Enterprise plan, 10 automations on the Essential plan, unlimited automations on the other two, 50 e-signatures on the Essential plan, e-signatures included on the Premium plan and the Enterprise plan, two-way SMS not listed on the Essential plan, 50 two-way SMS messages a month on the Premium plan, 100 a month on the Enterprise plan, and 50,000 marketing emails a month on the Premium plan and the Enterprise plan. Additional contacts are sold separately. Round-robin scheduling, advanced conflict checking, custom reports, and ROI tracking show on the Premium plan and the Enterprise plan, not as Essential inclusions. Time and billing is an add-on on the Essential plan and the Premium plan and is included on the Enterprise plan, with no dollar amount printed.

Merlin is separate from that quote. The pricing grid marks Merlin Qualify, Merlin Engage, and Merlin Copilot as absent on the Essential plan. On the Premium plan and the Enterprise plan, Qualify and Engage are outcome-based, and Copilot is user-based with no public dollar rate. Engage requires Qualify. Smallest Merlin allowance: $149/month according to Lawmatics (2026), which sells 50 outcomes at that price, $2.98 an outcome inside the allowance, and $3.25 for each outcome past it. The same article prices 2,000 outcomes at $1,999 a month, says unused outcomes do not roll over, and says existing Qualify AI Credits become AI Outcomes on September 8, 2026, one for one. One lead can generate more than one outcome when Qualify, a collect-and-qualify conversation, and a booking all succeed.

TierOutcomes per monthMonthly pricePrice per outcomeOverage rate
150$149$2.98$3.25
2100$249$2.49$2.75

51,000$999$1.00$1.25
62,000$1,999$1.00$1.25

The article tells a firm on 50 outcomes to look at the next tier above 81 outcomes, on 100 outcomes above 155, on 200 above 356, on 500 above 643, and on 1,000 above 1,800. That is the vendor's own break-even hint. It is not a full bill, because the CRM subscription, SMS overages, extra contacts, and any implementation fee are still inside the quote.

Intaker's public cost clue is a cap, not a rate card. A unique visitor is counted once per year, and the firm is emailed at Visitor warning: 80% of cap according to Intaker (2026). When the cap is passed, Intaker says leads stay visible but the detail is locked until an upgrade, and that capture itself continues. The page does not print the visitor number that triggers the lock. Model last month's unique visitors with their team before you sign, and ask what the upgrade costs at your traffic, in writing.

Picture an illustrative month, not a client result and not a test we ran, in which Merlin completes 80 billable tasks on the smallest allowance. Fifty outcomes are inside the $149 price, so 30 tasks are overage at $3.25, which is $97.50, and the Merlin line is $246.50 before the quote-based CRM subscription. The help article points at an upgrade once that allowance passes 81 outcomes, so this illustration is still on the overage side of that line. In the same sketch, 12 of the underlying matters are marked hired. A proposed handoff listens for matter.converted, reads matter_id, and waits until a coordinator confirms the matter is truly hired and the conflict check is clear before any case-system write. Lawmatics' own webhook notes say the conversion event can fire again on a matter that is already hired, even when the status does not change, so the person is the control, not the event name alone.

Lawmatics in an intake manager's week

Staff count: 79 employees according to PitchBook (2025), with the office listed in San Diego. PitchBook describes the product as marketing automation and CRM software that takes a lawyer's lead through forms, texts, email, and reporting. That matches the pricing page: intake, forms, e-signature, calendars, pipelines, and, on higher plans, email marketing and ROI dashboards. Merlin Qualify evaluates leads against the firm's criteria. Merlin Engage is the conversation layer billed from the same outcome pool. Merlin Copilot is the plain-language helper for automations and reports, priced per user with no public rate.

Best fit: a consumer firm that already generates enough leads to justify a 3-user floor, wants one place for stage, source, and nurture, and can name a person who owns pipelines and automations after launch. The Essential plan fits a firm that needs forms, a basic conflict check, 500 contacts, 10 automations, and 50 e-signatures, and that does not need marketing email or Merlin. The Premium plan fits the firm that wants unlimited automations, round-robin booking, 10,000 contacts, 50,000 marketing emails a month, and the option to add Merlin. The Enterprise plan fits a firm that wants a 5-user floor, a dedicated account manager, 100 two-way SMS messages a month, and time and billing included rather than added.

Limitations: there is no public base price, so total cost of ownership is a quote plus the Merlin math above. The Essential plan is a real product and a real constraint. It does not show Merlin, round-robin, custom dashboards, or the two-way SMS line the higher plans print. Outcome math punishes firms that let every lead run through Qualify, a follow-up conversation, and a booking without watching the billing page, because that path can be three outcomes. Webhooks, which are how an outside system hears that a matter converted, are documented on the Premium plan and require a developer. The signing secret is shown once.

Implementation: plan on a sales quote, a seat count at or above the published minimum, and a cleanup of stages before go-live. Turn on developer access before anyone promises an API feed. If you add Merlin, start on a stated outcome cap and read the billing page weekly during the first month, because unused outcomes expire. Keep a person on conflict checks. An assistant can collect names. A lawyer still decides whether the firm is allowed to take the matter.

Intaker in an intake manager's week

Intaker's homepage tells a consumer firm to meet the lead on chat, text, Local Services Ads, WhatsApp, Meta, and phone, then schedule, connect a call, or sign inside the conversation. Arthur answers Local Services Ads messages. Owen works cold leads toward a call. Jane qualifies inbound SMS. The communications hub puts chat, text, and calls in one workspace, with visual pipelines and automations tied to lead actions, case status, or activity on the platform. Apps are offered for iOS and Android. Legaltech Hub adds video-first chat, multilingual flows, two-way texting on a dedicated number, Live Call Connect with recording and an AI summary, and workflows that can send an e-signature request. Those are directory descriptions of the product, not results we measured.

Best fit: the firm whose CRM, or whose future Lawmatics CRM, is fine, and whose leak is the first five minutes on channels a form does not see. It also fits a team that wants the intake coordinator to work from a phone after hours without a separate texting inbox. It is a weak fit as the only system if partners expect marketing-email caps, ROI dashboards, and a 10,000-contact CRM in the same login. Pair it with a CRM, or accept that the pipeline Intaker shows is a lead pipeline, not the full matter lifecycle.

Limitations: quote-based pricing, with no public seat count and no public visitor ceiling. The 80% email is only useful if you know the denominator. Locked lead detail is an operational outage even if capture continues, because the coordinator can see that someone arrived and cannot open the story. Shared inboxes and named agents still need a human owner for scripts, after-hours escalation, and conflicts. A native Lawmatics guide does not remove duplicate records. Someone has to decide which system creates the matter and which system only notifies.

Implementation: confirm the channels you will actually turn on, then send one test lead from each. Ask Intaker to show the Lawmatics record it creates, including case type and phone number, and ask your CRM admin what happens on a second message from the same person. Put the visitor warning on the intake manager's email, not only on a marketing login. Decide, before launch, who reviews after-hours qualifications the next morning, and which case types must never auto-advance.

A configured handoff above the two tools

The painful moment is not the chat. It is the minute a prospect is marked hired and a coordinator retypes the story into the case system, or the minute a chat lead never becomes a Lawmatics matter because the native connection dropped a field. A proposed US Tech Automations workflow starts when Lawmatics emits matter.converted to an HTTPS endpoint the firm controls. The action reads matter_id, and only if the firm already has Premium webhooks and a developer credential, fetches the matter, then writes a review packet with practice area, contact, and source. The output is a queue item. A coordinator accepts it or sends it back. Nothing is created in the case system until that person clears conflicts. This is a configurable design with those prerequisites. It is not a live deployment and it has no measured savings.

The same pattern can start on the Intaker side of the stack. The trigger is a qualified chat or SMS lead that Intaker has already routed by case type. The action opens a Lawmatics matter only after a person confirms it is not a duplicate of an open lead. The output is a matter in the first pipeline stage plus a note of the channel. US Tech Automations would hold the overnight rule as configuration: which practice areas can wait for morning review, which must page someone, and which must stop. Prerequisites are the Intaker export or the documented Lawmatics connection, a Lawmatics user who is allowed to create matters, and a named reviewer. Miss any one of those and the design should not run.

Building the same path in Zapier, Make, or n8n

The honest alternative is a flow the firm already knows. Zapier, Make, and n8n can listen for a form or a webhook, create a record, retry a failed step, branch on an error, and keep a run history when someone sets that up. They can also store an audit trail of what fired. That is real, and for a single form-to-matter path it is often enough. The buyer owns the design: observability so a silent failure is visible, idempotency so a repeated matter.converted does not open two matters, escalation so a stuck lead reaches a person, access controls so a contractor cannot export the whole pipeline, and maintenance when either vendor changes a field.

A proposed US Tech Automations design could differ by putting those controls in the configuration rather than in a pile of one-off scenarios: one review queue, a stop when the conflict flag is empty, a retry on the case-system write, and a record of who approved the handoff. Prerequisites stay the same. Lawmatics webhooks on the Premium plan or an equivalent export, an Intaker connection that can identify the lead, and a human on conflicts and on any matter the event fires twice. If your current Zapier, Make, or n8n flow already does that and someone on staff maintains it, keep it.

Mistakes that waste the trial

  • Treating the products as substitutes. Intaker's help center links a Lawmatics setup article. The shortlist question is which layer you lack, not which logo wins a generic feature grid.

  • Comparing a retired Lawmatics sticker price to a rumor about Intaker. The live Lawmatics page is a quote, plus published Merlin allowances. Intaker's base price is a quote. Anything else is not on the pages we opened.

  • Buying the Essential plan on Lawmatics because the CRM story sounded complete, then discovering Merlin, round-robin, and the higher-plan SMS line are not on that column.

  • Counting one Merlin outcome per lead. The pricing article's own examples show a qualify step plus a conversation plus a booking as three outcomes.

  • Ignoring the Intaker visitor email until detail view locks. Capture continuing is not the same as the team being able to work the lead.

  • Letting matter.converted open a case file with no person in the loop. The event can fire again on an already hired matter.

Glossary for the shortlist

  • Intake CRM: the system that holds the prospective client, the stage, the tasks, and the source, which is the job Lawmatics describes for itself.

  • Channel capture: the chat, text, ad-message, and social layer, which is the job Intaker describes for itself.

  • AI Outcome: Lawmatics' Merlin unit. One completed billable agent task. One lead can use more than one in a single journey.

  • Unique visitor: Intaker's yearly count of a person, even if they return, used to measure the plan cap.

  • Round-robin scheduling: sending consults across lawyers in turn. On the Lawmatics grid it appears on the Premium plan and the Enterprise plan, not on the Essential plan.

  • PNC: shorthand many firms use for a potential new client who is not yet hired. Keep the status in the CRM, and do not treat a chat transcript as the file.

  • matter.converted: the Lawmatics webhook that fires when a matter is converted toward hired. The payload includes matter_id. Confirm current status before you export.

  • Quote-based: the vendor will not show a dollar subscription on the public page. Both base products are in that category as of the check date above.

Questions intake managers ask

Are Lawmatics and Intaker the same kind of product?

No. Lawmatics is the intake CRM and marketing system, and Intaker is the multichannel capture product that can feed a CRM, including Lawmatics. Choose by the layer that is failing, then decide whether you need the other layer at all.

Do either of these products publish a base monthly price?

No. Both base subscriptions are quote-based on the pages opened for this check. Lawmatics does publish Merlin allowance prices, from $149 for 50 outcomes to $1,999 for 2,000, and those dollars sit on top of the CRM quote on the plans where Merlin is offered.

Can one firm use Intaker and Lawmatics together?

Yes. Intaker documents a Lawmatics integration alongside Clio, Filevine, MyCase, Lead Docket, and other systems. The practical design is Intaker on the channels, Lawmatics as the lead record, and a person checking duplicates and conflicts before a matter is marked hired.

What does the smallest Merlin allowance cost past the cap?

The smallest allowance is $149 for 50 outcomes, and each extra outcome on that tier is $3.25, so 30 extra outcomes add $97.50 and the line becomes $246.50 before the CRM quote. Lawmatics tells you to look at the next tier once you pass 81 outcomes, and unused outcomes do not roll over.

What happens when Intaker traffic passes the visitor cap?

Intaker emails the firm at 80% of the plan's unique-visitor cap, counting a person once in a year. Past the cap, the lead detail locks until an upgrade, while Intaker says it keeps capturing, so ask for the cap and the upgrade price against your real traffic before you sign.

When NOT to use US Tech Automations?

Skip that configured handoff when a simpler tool already finishes the job. Three common cases: Intaker's native Lawmatics connection already creates the matter and a coordinator reviews the queue each morning; a Zapier, Make, or n8n scenario already retries, logs failures, and stops for a conflict check, and someone on staff owns it; or the firm only needs the Essential plan on Lawmatics with a form and has no Premium webhook and no desire to add one. A third layer that nobody reviews is extra cost and extra places for a duplicate matter.

For the configuration questions that sit above either product, see how US Tech Automations configures this. Bring last month's lead count by channel, the case system you already run, and whether you can staff a 3-user Lawmatics floor. The right purchase is the missing layer, priced from a written quote, not from a feature list.
