SmartRecruiters vs Workday HCM Buying Guide 2026
The choice is a hiring suite or the HR suite
SmartRecruiters is a talent-acquisition suite. Workday Recruiting is the hiring module inside Workday HCM, the human-resources suite that also holds the worker record. A talent acquisition or HR technology lead who types this comparison is not picking between two job-ad tools. The lead is deciding whether hiring stays in a product built for recruiters, or whether the candidate, the offer, and the employee record must be the same system. Settle that category choice before comparing chat features. Teams that want a wider frame for the applicant-tracking shortlist can use how recruiting teams compare applicant tracking systems.
SAP completed the purchase of SmartRecruiters on September 11, 2025, said customers may keep using the product with SAP or with another HCM suite, and reported Platform reach: more than 4,000 organizations, naming Amazon, Visa, and McDonald's, according to SAP News (2025). The product was not renamed and it was not shut down. It moved under SAP and into the SuccessFactors story, while the SmartRecruiters name stayed on the commercial plans.
The August 1, 2025 agreement said the SmartRecruiters portfolio would stay available on its own for the foreseeable future, the purchase price was not disclosed, and the same count of more than 4,000 organizations was already the public figure, according to SAP News (2025). The last announced funding round before that deal was a $110 million Series E in 2021, which valued the company at $1.5 billion, and the 2025 price was still undisclosed, according to TechCrunch (2025). Treat $1.5 billion as a 2021 funding valuation, not as the price SAP paid.
TL;DR: choose SmartRecruiters when you want a hiring suite SAP still sells on its own and that can sit beside a different HR system. Choose Workday Recruiting when the offer, the referral, and the worker record need to live in Workday HCM. Neither vendor publishes a full rate card.
Key Takeaways
SAP has owned SmartRecruiters since September 11, 2025. The suite was not discontinued, and SAP said it can still be used with a non-SAP HCM.
The only dollar figure on the SmartRecruiters pricing page is a starting price of $14,995 on the Essential plan. The other three plans are Quote-based. The page does not label the billing period.
Workday Recruiting is not a standalone applicant tracking system with its own public price. On the pages opened for this guide, Workday HCM and Workday Recruiting are Quote-based.
Essential does not include the AI hiring agent, AI matching, AI screening, or conversational chat. Those features start on higher plans that require a quote.
Workday's administrator guide documents referral rewards, evergreen requisitions, offer statuses, and masked screening inside the HCM product. That is a different promise from a recruiter suite you can point at another HR system.
A status handoff between the hiring tool and the HR system still needs a field map, a credential or export, and a person who approves the worker record. The published API ceiling is a design limit, not a measured customer result.
Who this is for
This guide is for a talent acquisition lead or an HR technology lead who is close to a decision and already knows the company will run an enterprise hiring process. You are weighing a dedicated hiring suite against recruiting inside the HR suite. You can sit through a quote. You care whether the system of record for workers changes, because that decision outlasts any single recruiting feature.
Red flags: you require a complete public price list, including implementation, before you will talk to sales. You want hiring software and you will not connect it to any HR system of record. You expect either vendor to publish a per-hire calculator you can finish from the website alone.
If those flags describe the buying rule, this pair is the wrong shortlist. Both products hide most of the commercial number behind a conversation. The useful work is to decide the system of record, then force each quote to use the same scope.
How we evaluated these two products
The weighting below is our buying lens for this comparison, not a score either vendor published. Facts in the later tables come from the vendor pages and the independent write-ups opened for this guide. A weight is how much of the decision that question should get when the reader is close to a signature. The ranks put the system of record first because a feature gap is cheaper to close than a second worker record.
| Criterion | Weight | Rank | What the buyer is deciding |
|---|---|---|---|
| System-of-record fit | 25% | 1 | Whether the candidate and the worker can live in one HR suite |
| Hiring workflow coverage | 20% | 2 | Whether tracking, CRM, screening, and offers are on a public plan |
| Internal mobility and referrals | 15% | 3 | Whether employees can be matched and rewarded from the same system |
| Price transparency | 15% | 4 | Whether any dollar figure exists before a sales call |
| Integration surface | 15% | 5 | Whether a public API documents the objects a handoff must read |
| Implementation load | 10% | 6 | Whether recruiting requires adopting the full HR suite |
The six weights add to 100%. System-of-record fit is heaviest because a company that already runs Workday and then buys a second hiring suite will pay for integration forever, and a company that does not run Workday cannot treat Workday Recruiting as a drop-in tracker. Price transparency is only 15% because both products are mostly Quote-based, so a single published starting price should not decide the deal. Implementation load is last because neither vendor published a standard services fee on the pages opened on October 9, 2026. Ask for that fee in the quote. Do not invent it from a blog.
We did not score usability from a lab, and we did not run either product. Where a public page is silent, the cell says so. Silence is not proof that the feature is missing. It is proof that you cannot hold the vendor to it from the website.
What the public pages show side by side
SmartRecruiters sells four named plans on its pricing page. Essential lists applicant tracking, a candidate relationship manager, onboarding, SMS, job distribution, and dynamic scheduling. Professional adds an AI hiring agent and an AI talent matching engine, plus access to add-ons. High Volume adds AI candidate screening, conversational chat, and higher SMS and job-distribution volume. Complete adds advanced analytics, an advanced sandbox, and custom in-app guidance. The same page sets SMS limits and job-distribution limits at Low, Medium, High, and High across those four plans, in that order.
Workday's HCM suite page lists Recruiting as one capability beside core HR, compensation, benefits, absence, workforce management, payroll, analytics, and planning. The same page says Workday Recruiting and a Candidate Experience Agent cover AI-assisted screening, scheduling, and high-volume candidate engagement. HiredScore is described as a Workday company. The HiredScore recruiting page says the Recruiting Agent is integrated with Workday Recruiting, grades candidates, and resurfaces people already in the database. Hiring managers are met in Microsoft Teams. That is a suite story. It is not a standalone tracker with a shopping-cart price.
Workday's administrator guide, which we opened for this comparison, documents the configuration surface in plain language. Recruiters can create internal and external career sites, job alerts, and branded external sites. They can open evergreen requisitions, freeze and unfreeze a requisition, and hide a requisition from everyone except a chosen set of users. Referrals can name the referring worker, endorse an external candidate, and offer a reward. Offers can carry a status, conditions of employment, and an accept or decline by an external candidate. Screening can mask a profile, map race values into EEO reports, and embed an assessment before the application is submitted. Prospects can be merged when they are duplicates, and consent plus a privacy-policy link are part of the career-site controls. A practical companion on referral operations is how referral tracking compares for recruiting teams.
An independent capability pass found a split, not a tie. SmartRecruiters had stronger public evidence on 8 of the 21 capabilities where the two products differed, led by programmatic job advertising and a public developer platform, according to ERP Research (2026). Workday Recruiting had stronger public evidence on Evidence lead: 13 of 21 of those capabilities, led by employee referral programs and passive-candidate sourcing, according to ERP Research (2026). ERP Research's set had 44 capabilities in total. "Not evidenced" on that page means the researchers did not find public documentation. Confirm the gap on a quote before you treat it as a missing feature.
| Decision point | SmartRecruiters | Workday Recruiting |
|---|---|---|
| Product shape | Talent-acquisition suite with four named plans | Hiring module inside Workday HCM |
| Owner | SAP since September 11, 2025 | Workday |
| Beside another HCM | SAP says customers may keep it | Built for the Workday worker record |
| Entry commercial offer | Essential, with a public starting price | Quote-based, no public dollar amount |
| AI screening on the entry tier | Not on Essential; listed on High Volume | Recruiting Agent is a separate Workday product page |
| Referrals on a public guide | Not itemized on the plan bullets | Referring worker, endorsement, and reward |
| Requisition controls | Not itemized on the plan bullets | Evergreen, freeze, and confidential requisitions |
| Offer handling | Not itemized on the four plan bullets | Statuses, conditions, accept or decline |
| Public application API | Documented, including consent and an AI disclosure field | No open developer portal on the pages opened |
| High-volume hiring | A named High Volume plan | Named on the HCM suite page |
The sharp rows are ownership, the HR-system boundary, and the API. SmartRecruiters documents an Application API a career site can call without sending the candidate to the SmartRecruiters job ad. Workday documents the hiring objects inside the administrator guide, and the marketing pages show the agent inside Workday. A buyer who needs a public, unauthenticated developer cookbook will find it on the SmartRecruiters side. A buyer who needs the referral reward and the offer to update the same worker profile will find that language on the Workday side.
Existing-pool role coverage: 70% is Workday's published figure for the HiredScore recruiting agent, alongside a claim of faster hiring-manager reviews on that same page, according to Workday (2026). Read it as the vendor's own outcome claim for that agent, not as an industry average and not as a result we measured. The HCM suite page publishes a different capacity claim, cited in the fit section below. They are different sentences on different pages. Do not average them.
Pricing checked against the vendor pages
Pricing checked October 9, 2026. The SmartRecruiters pricing page is the only vendor page in this comparison that shows a dollar amount. SAP's SuccessFactors recruiting pricing page, opened the same day, asked for a quote and did not display a dollar figure, so the SAP-packaged offer is Quote-based here. Workday's HCM suite page and the HiredScore recruiting page both end in a sales contact and do not list a price. Implementation fees were not published on any of those pages. Record them as Quote-based until a written quote says otherwise.
| Vendor | Plan | Published price | Public scope |
|---|---|---|---|
| SmartRecruiters | Essential | $14,995 starting | Tracking, CRM, onboarding, SMS, job distribution, dynamic scheduling |
| SmartRecruiters | Professional | Quote-based | Essential, plus AI hiring agent and AI talent matching |
| SmartRecruiters | High Volume | Quote-based | Professional, plus AI screening, conversational chat, higher message and job-ad volume |
| SmartRecruiters | Complete | Quote-based | High Volume, plus advanced analytics, advanced sandbox, custom in-app guidance |
| Workday | Recruiting | Quote-based | Module of Workday HCM; no dollar amount on the pages opened |
| Workday | HiredScore recruiting agent | Quote-based | Workday company product, integrated with Workday Recruiting |
Essential starting price: $14,995 according to SmartRecruiters (2026). The page does not say whether that starting price is annual, monthly, or a platform fee, so do not turn it into a per-employee rate. Professional, High Volume, and Complete are Request Pricing or Contact Sales on that page, which this guide records as Quote-based. AI screening is not on Essential. A buyer who needs screening, chat, or the advanced sandbox is already off the only published number.
| Published limit | SmartRecruiters | Workday |
|---|---|---|
| Starting list price in USD | 14995 | Quote-based |
| Plans or modules with a public dollar price | 1 | 0 |
| Quote-only plans or modules on the public page | 3 | 1 |
| Documented concurrent API requests | 8 | Not published |
| Documented minimum client timeout in seconds | 128 | Not published |
Use the quote call to force a common shape. Ask each seller whether the meter is employees, recruiter seats, or hires, what the implementation line is, whether the sandbox is included, and which SMS and job-board volumes are inside the first year. Ask Workday whether Recruiting is priced inside the HCM subscription or as its own line, and whether the HiredScore agent is included or extra. Ask SmartRecruiters whether a SuccessFactors customer pays the Essential starting price, an SAP price-book item, or both. None of those meters were spelled out as a finished calculator on the pages opened for this guide.
An illustrative batch at the published API ceiling
Using that $14,995 Essential starting price, take an illustrative batch of 80 applications from a career site. This is a design example, not a customer we observed. The Application API caps callers at API concurrency cap: 8 requests and tells integrators to set a timeout of at least 128 seconds, according to SmartRecruiters (2026). Dividing 80 by 8 produces 10 waves. Multiplying 10 by 128 produces 1,280 seconds. Dividing 1,280 by 60 produces 21 minutes and 20 seconds if every wave waits out the full timeout. Real responses are often faster. The point is the ceiling the integration must respect. Before any of those applications is treated as complete, a reviewer reads the disclosure text returned in aiSettings.aiDisclosureLabel and confirms the candidate's consent. The same docs require the OAuth scope candidate_applications_manage for this API, a privacy-policy step, and diversity questions shown below the other questions. A person still checks that packet. The timeout math is not a promise of speed.
| Step | Figure | Unit |
|---|---|---|
| Illustrative applications | 80 | applications |
| Published concurrency cap | 8 | requests |
| Waves at that cap | 10 | waves |
| Timeout ceiling | 128 | seconds |
| Full-ceiling wait | 1280 | seconds |
| Full-ceiling wait | 21.3 | minutes |
The $14,995 figure does not change because the batch is 80. It is a platform starting price, not a per-application fee. A high-volume employer that outgrows Essential's Low SMS and job-distribution limits is on a Quote-based plan, and this arithmetic does not price that plan. It only shows why a career-site integration needs a queue, a retry, and a human check, rather than a single burst of calls at the top of the hour.
Who should choose which product
Choose SmartRecruiters when the hiring team wants its own suite, including a named high-volume plan, and the company either runs SAP or intends to keep a different HCM. The best-fit reader is a talent team that will own the candidate experience, the job distribution, and the recruiter workflow, then hand a hired person to HR. The limitation is commercial and contractual. Three of the four plans are Quote-based, the only public number does not include the AI screening tier, and the roadmap now sits with SAP SuccessFactors even though the standalone promise is still on the record. Implementation scope is whatever the quote says. The public plan page does not publish a duration, a services fee, or a sandbox on Essential. Primary evidence is the pricing page cited above and the September 11, 2025 completion notice.
Choose Workday Recruiting when the company is already on Workday HCM, or has decided to move the worker record there, and wants referrals, offers, and internal moves in that same record. The best-fit reader is an HR technology lead who will not support a second system of record for people. The limitation is the boundary. The pages opened do not sell Workday Recruiting as a tracker you point at a non-Workday HR system, and they do not show a dollar price. Recruiter-capacity claim: 60% is the improvement Workday prints on the HCM suite page for this talent block, according to Workday (2026). Treat that 60% as the vendor's claim. It is not an audited benchmark. Implementation means configuring career sites, requisitions, consent, interviews, and offers inside the tenant. The administrator guide shows that surface. It does not show a public services price. Primary evidence is the HCM suite page and the HiredScore recruiting page cited above.
A hire still has to cross from the recruiting status into the worker record, even when both steps sit in one suite. A proposed US Tech Automations workflow takes a scheduled export or an API read as the trigger when a candidate reaches a hired or offer-accepted status. The action maps the candidate identifier and the job identifier, checks consent, and flags a frozen requisition or a duplicate person. The output is a review packet for a named HRIS analyst. Prerequisites are a credential or a file export, a written field map, and a rule for which status is allowed to pass. The analyst approves the packet before anyone creates the worker record and before a referral reward is released. This is a proposed configuration. It is not a live deployment and it is not a measured result.
Zapier, Make, and n8n can support run histories, retries, error branches, and audit evidence when a team configures them. They are a fair alternative for a single status moving from one system to another. The buyer then owns observability, idempotency, escalation, access control, and maintenance. Those tools do not supply the HR suite or the hiring suite. A proposed US Tech Automations design can use the same hired-status trigger, keep one review queue for conflicts, and stop the write when the offer status and the compensation fields disagree. The human review point stays in front of the worker-record write. The prerequisite is still an export or an API scope from the system you chose, plus a named owner for failed rows.
US Tech Automations is the wrong layer when the hire never needs to leave the suite that already holds the worker record. Stay inside Workday when referral rewards, offer acceptance, and the employee profile are already one business process and nobody outside that tenant needs a copy. Stay inside the SAP path when SmartRecruiters is the recruiting front and the handoff into SuccessFactors is already a standard process your HRIS team runs. Keep a single status email inside the hiring tool, or inside a small Zapier, Make, or n8n scenario you already maintain, when there is no second system and no audit packet to build.
Glossary
An applicant tracking system is the record of jobs, candidates, and stages. HCM is the human-resources suite that holds the worker, often including compensation and adjacent processes such as payroll. A candidate relationship manager keeps people who are not in an active application. A system of record is the database other tools are supposed to trust for a person. An evergreen requisition stays open for an ongoing hiring need instead of closing after one hire. Quote-based means the vendor did not publish a dollar price on the page we opened, so the number has to come from a written quote. An offer status is the stage of an offer, such as extended or accepted, and it is not the same thing as a completed worker record. A referral reward is the credit or payment a company attaches to an employee who referred someone who is hired.
Decision checklist
Use this list in the meeting before anyone requests a quote. The steps for narrowing an applicant-tracking shortlist are expanded in a practical path for choosing an applicant tracking system.
Name the system that will own the worker record after the start date. If that system is Workday, keep Workday Recruiting on the shortlist. If it is not, do not pretend Workday Recruiting is a standalone tracker.
If the HR system is SAP SuccessFactors, ask whether the path is SmartRecruiters standalone, SmartRecruiters inside SuccessFactors, or both. Get the answer in the quote, not from a 2021 valuation.
Match the feature you actually need to a plan bullet. Screening, conversational chat, and the advanced sandbox are not on Essential.
Ask both sellers for a three-year total that separates license, implementation, sandbox, message volume, job-board spend, and any AI agent.
Require the same volume assumptions in both quotes. Headcount, recruiter seats, and expected hires change a Quote-based number even when the website cannot.
Write the handoff fields before you sign: candidate id, job id, offer status, consent, referring worker, and the status that is allowed to create a worker.
Name the person who reviews exceptions. A frozen requisition, a duplicate prospect, or a missing consent flag should stop the write.
Do not treat vendor-published percentages as your forecast. The 60% and 70% figures above are Workday's own claims. The $14,995 figure is a starting price with no billing period printed on the page.
Frequently asked questions
Is SmartRecruiters still an independent company?
No. SAP completed the acquisition on September 11, 2025. The product kept its name, customers may still use it with a non-SAP HCM, and the August announcement said it would remain available on its own for the foreseeable future. The price SAP paid was not disclosed. The $1.5 billion figure is the 2021 funding valuation, not the acquisition price.
Can you buy Workday Recruiting without Workday HCM?
No. Workday presents Recruiting as a module of the HCM suite, on the same page as core HR, compensation, and payroll, and the public materials do not offer it as a separate tracker with its own price. A company that will not run Workday as the worker system of record should not buy this module as if it were SmartRecruiters.
What does SmartRecruiters cost?
SmartRecruiters' Essential plan starts at $14,995, and Professional, High Volume, and Complete are Quote-based. The pricing page does not state the billing period. AI screening and conversational chat are on High Volume, not on the only priced tier. Implementation is Quote-based because no services fee was published on that page.
What does Workday HCM recruiting cost?
Quote-based. The Workday HCM page and the HiredScore recruiting page opened for this guide do not list a dollar price, and the SAP SuccessFactors pricing page also did not display one. Ask whether the recruiting module and the HiredScore agent are separate lines. Do not borrow a per-employee rate from a secondary blog.
Which product fits a team that will keep its current HR system?
SmartRecruiters, if the current HR system is not Workday and the team wants a hiring suite it can keep. SAP's completion notice says customers may continue with SAP or with another HCM. Workday Recruiting fits the team that is keeping Workday, or moving to it, as the worker record. The wrong purchase is Workday Recruiting as an add-on to a non-Workday HR system.
Do Zapier, Make, or n8n replace either product?
No. Those tools can move a status, retry a failed call, branch on an error, and keep a run history when you configure them. They do not include applicant tracking, referral rewards, or a worker record. Use them, or a proposed review-packet workflow, only after you have chosen the suite. You still have to design idempotency, access control, escalation, and a person who approves exceptions.
The shortlist after the system of record
Pick the HR system of record first. If that system is Workday, the recruiting conversation is about Workday Recruiting, the HiredScore agent, and a quote that separates those lines. If the company wants a hiring suite it can keep beside SAP or beside another HCM, the conversation is about SmartRecruiters, with eyes open that SAP has owned it since September 11, 2025, and that only the Essential plan shows a public starting price of $14,995. In both cases the higher commercial number is Quote-based, the vendor-published percentages are the vendor's claims, and a hired status is not a worker record until a named person accepts the handoff. For the handoff that remains after that choice, see how US Tech Automations configures this.
